Kiwanis Homes has been providing affordable, safe, and sustainable housing communities for families since 1982. We currently own and manage approximately 1,100 apartment units, townhouses, and single-family homes in the Hamilton and Brantford areas, and we are growing. Maintenance Support (Administrative)

Position Objective

Working 4 hours a day Monday – Thursday from 9:00 a.m. – 1:00 p.m. you will support the Property Coordinators with their administrative duties and provide back-up coverage to the Customer Service position during staff absence as required.

Your Pay:

Starting hourly rate: $23.03 - $23.84, based on knowledge and experience.

Essential Duties and Responsibilities

Duties and responsibilities include, but are not limited to, the following:

Property Support and Quality Control

- Assists Property Coordinators staff with their administrative duties and responsibilities.
- Handles maintenance requests and issues work orders as needed.
- Follows up with vendors and provide updates to tenants.
- Manages electronic filing system.
- Prepares invoices for approval by Property Coordinators.
- Drafts notices and letters as requested by Property Coordinators.
- Provides administrative support for Property Coordinators during absences when required.
- Performs other duties which are directly related to the responsibilities of the position and assigned by the Manager of Facilities.

Customer Service





- Answers all incoming telephone calls and provides excellent customer service and support.
- Answers general enquiries and promptly relays those of a higher-level to the appropriate person.
- Redirects calls for other staff promptly.
- Takes messages and forwards to appropriate staff on a timely basis.
- Greets and receives all customers entering the office and announces visitors.
- Performs data entry – rent payments/lease documents/letters/NSFs.
- Processes incoming mail by opening, sorting, and distributing.
- Processes outgoing mail
- Maintains reception area to consistently reflect an organized, qualified appearance.
- Prepares routine letters, and standard responses.
- Works in accordance with the provision of applicable Health and Safety legislation and corporate policies and procedures related to Occupational Health and Safety.
- Performs other duties which are directly related to the responsibilities of the position and assigned by the Director of Operations.

Education, Experience, and Qualifications Required

Education and experience

Grade 12 secondary school education or equivalent. Some customer service work experience would be an asset.

Qualifications

- Be highly proficient in both knowledge and use of Microsoft Office 365, Word, Outlook, Excel, Teams.
- Knowledge and experience with Yardi Property Management software considered an asset
- Possess excellent organization, prioritization, and time management skills.
- Possess excellent English communication skills (listening, speaking,



and written) and interpersonal skills.
- Be professional, friendly, and focused on customer service excellence.
- Be proficient and up to date in all aspects of customer service position procedures.
- Is able and willing to work quickly and accurately while paying attention to detail.
- Is comfortable working in a busy environment with frequent interruptions and multitasks.
- Be willing and able to maintain confidentiality, exercise good judgment and discretion when dealing with confidential information and/or responding to inquiries.

Working Conditions

- Be bondable.
- Regular work week is 16 hours per week, Monday – Thursday 9am – 1pm daily.
- This position is based at the corporate head office, currently located at 1353 Barton Street East, Hamilton, ON L8H 2W2.
- Occasional local travel may be required.
- Considerable time may be spent in front of a computer monitor.
