Job Summary

- Administer the Passport and Visa program by analyzing files and researching foreign travel documentation requirements, providing advice based on interpretation of related policies and procedures.

- Coordinate internal and external foreign travel documentation requirements on behalf of the Service by processing requests for special and diplomatic passports and associated visas.

- Liaise and maintain excellent relationships with key stakeholders (including, but not limited to Embassies and Immigration, Refugees and Citizenship Canada) and act as a resource person by advising managers/employees on all requirements relating to information and documentation for travel abroad.

- Manage various databases including travel document registries on SharePoint with the purpose to track and coordinate the status and locations of official passports.

- Ensure compliance with conditions laid out in the Memorandum of Understanding (MoU) with Immigration, Refugees and Citizenship Canada regarding the retention and safekeeping of special and diplomatic passports.

- Plan and coordinate administrative requirements related to projects, research, analysis and various reports and statistics relating to Branch initiatives

Education

- Undergraduate degree and two (2) years of experience* in each of the identified criteria, or

- College diploma and four (4) years of experience* in each of the identified criteria, or
- An acceptable combination of relevant education, training, and experience may be considered.

The degree must be obtained from an accredited learning institution recognized in Canada. If you completed a program outside of Canada, you will be required to obtain proof of a Canadian equivalency at your expense from an accredited learning institution recognized in Canada.

- Experience is defined as

- Experience in interpreting policies and procedures and providing advice and guidance to employees at all levels;

- Experience in client service delivery;

- Experience in managing projects and issues: organizing, planning, coordinating, prioritizing and drafting written reports and correspondence;

- Experience in multi-tasking, meeting deadlines and handling short turnaround times;





- Experience in establishing and maintaining effective contacts, internally and externally

Conditions of Employment

Required to travel to foreign embassies and high commissions within the NCR. This position may require a more flexible work schedule.

While we continue to explore opportunities for flexible work arrangements, most roles in our organization require an in-office presence.

Official Language (OL) Proficiency The immediate need is to staff two positions with a linguistic profile of bilingual imperative BBB/BBB.

Second language evaluations will be offered to candidates.

Security Requirements

Candidates must be eligible to receive an Enhanced Top Secret security clearance.
