Program Coordinator, Winks
Department: Winks Affiliate Program Location: Calgary, AB (on-site) (#400, 229 - 33rd Street NE Calgary, Alberta T2A 4Y6)
Type of employment: Permanent, Full Time (40 hours)
THE ROLE
We are hiring a Program Coordinator, Winks. Reporting to the Program Manager, the Winks Program Coordinator will be responsible for providing comprehensive administrative support to the Program Manager and contributing to the growth and success of the Winks Affiliate Program. This position contributes to maximizing business opportunities for Winks Members and Vendor Partners through effective program administration, member support, data management, and coordination of marketing and promotional activities.
Success in this role requires strong organizational skills, attention to detail, problem-solving abilities, and the initiative to research and resolve unexpected challenges.
Winks is an affiliate banner program developed by Mac’s Convenience Stores (now part of Circle K / Alimentation Couche-Tard) designed to support independent convenience store operators in growing their businesses while maintaining operational independence. The program provides members with preferred pricing and rebates through key distribution partners, access to industry-leading food and coffee programs, and operational and merchandising support—all without requiring franchise conversion.
WHAT YOU’LL DO
Membership Administration
- Coordinate the onboarding of new members recruited internally and through Core-Mark representatives, including telephone screening, reviewing program eligibility criteria and guidelines, entering member information into the database, notifying suppliers, and emailing welcome packages.
- Update and maintain member banking information within the PDI system.
- Obtain GST registration confirmations for new members through Government of Canada resources.
- Create, update, and distribute Membership Information Kits for all regions as required.
Member and Supplier Support
- Respond to inquiries from members and suppliers by phone and email, providing timely assistance and resolving customer service issues.
- Follow up on member and supplier concerns to ensure satisfactory resolution.
- Collaborate with suppliers regarding promotional programs, new product launches, store execution initiatives, and promotional signage requirements.
Marketing and Communications
- Compile data and assist with the creation of signage,
newsletters, promotional materials, and other communications.
- Coordinate the organization and digital distribution of monthly Winks Links newsletter packages.
- Create and requisition monthly sell sheets and point-of-sale (POS) signage through approved printing vendors.
Data Management and Reporting
- Maintain the Winks database, member records, and vendor rebate program information.
- Compile quarterly sales data received from Direct to Store suppliers, identify and investigate discrepancies through exception reporting, and accurately update program databases.
- Generate quarterly member rebate statements and process payment uploads through the PDI system.
- Prepare and update quarterly supplier invoice summaries.
- Extract Wholesaler vendor reports and calculate vendor invoicing for Western Canada and Ontario in accordance with contractual vendor agreements.
Financial and Administrative Support
- Assist with monitoring outstanding supplier payments and distributing invoices and payment reminders for accounts overdue beyond 30 days.
- Maintain accurate records and documentation to support program operations.
Event Coordination
- Assist with the planning, coordination, setup, and execution of the annual Winks Conference, including attendance management and event logistics.
Additional Responsibilities
- Perform other duties and projects as assigned to support the ongoing success of the Winks Affiliate Program.
WHAT YOU’LL NEED We want you to join our team! Here's what we're looking for:
Education
- High school diploma (Grade 12) required.
- Post-secondary education or formal training in Business Administration, Office Administration, or a related field will be an asset.
Experience:
- 1-2 years of administrative or office support experience, preferably within the convenience retail, wholesale, or consumer goods industry.
- Experience using Microsoft PowerPoint, Microsoft Excel, and Adobe InDesign would be beneficial for this role.
- Retail customer service experience at the store level is considered a robust asset.
Knowledge and Skills:
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- High level of accuracy and attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Robust problem-solving and analytical skills.
- Proficiency in Microsoft Office applications and database management systems.
- Ability to work independently and collaboratively within a team environment.
- Willingness to travel up to 10% as needed for store visits, meetings, and company events etc.
