Blake, Cassels & Graydon LLP (Blakes), one of Canada’s largest and most successful law firms, is currently looking for a Legal Assistant to join the Restructuring & Insolvency practice group in the Calgary office.
The Assistant is responsible for providing high-level administrative and legal support to lawyers and senior staff by managing documentation, client communication and file organization with precision and professionalism. The Assistant ensures efficient workflow, maintains compliance with firm and legal standards and contributes to the success of client service delivery.
Primary responsibilities of the position include, but are not limited to:
- Managing lawyers’ email inboxes and calendars by scheduling appointments, court hearings, coordinating conference calls, monitoring correspondence, drafting or responding to emails as appropriate, and ensuring accurate electronic filing of emails.
- Communicating with local and national team members to manage filing deadlines in accordance with the Court of King's Bench Practice Notes and Alberta Rules of Court.
- Drafting, editing and preparing legal documents, correspondences and court forms with accuracy.
- Scheduling hearings and coordinating complex electronic court filings, including the preparation, submission, tracking, and administration of application materials through the Court of King's Bench of Alberta Digital Filing and Court Case Management systems.
- Attending to service of application materials to large service lists utilizing various methods of service.
- Coordinating Alberta filings with national team members, ensuring accuracy and compliance.
- Managing application and supporting materials, ensuring documents are accurately organized, indexed, and readily accessible for court hearings and applications.
- Maintaining both physical and electronic filing systems, in compliance with firm standards and record-keeping protocols.
- Reviewing and finalizing prebills and accounts,
monitoring fee estimates/budgets, quarterly reporting, maintaining outside counsel guidelines, and assisting with Accounts Receivable reporting and follow up.
- Opening new matters in the Business Intake system, including preparing zero rate forms and drafting retainer letters, ensuring all intake documentation is complete.
- Entering and closing time dockets in Intapp, supporting accurate timekeeping.
- Preparing and revising PowerPoint presentations, ensuring content is professionally formatted and aligned with requirements.
- Updating client information and lawyer profiles within InterAction.
- Coordinating travel arrangements, including booking flights, car rentals, hotels and conference registrations.
- Entering and monitoring lawyers’ Continuing Professional Development (CPD) hours, ensuring accurate records are maintained to support compliance with regulatory and professional requirements.
Qualifications
Education & Experience:
- Legal Assistant or paralegal diploma/certificate from a recognized institution.
- Minimum of 10-15 years of experience supporting legal professionals, including substantial experience in a fast-paced litigation environment managing complex files, competing priorities, and critical deadlines.
Skills & Abilities:
- Proficiency in Microsoft Office, CMS, InterAction and Intapp.
- Strong communication, organizational and time management skills.
- Exceptional attention to detail and the ability to exercise sound judgment.
- Strong knowledge of Alberta Rules of Court.
- Ability to work both independently and collaboratively as part of a team.
- Ability to maintain a high level of confidentiality when interacting with internal and external clients.
- Assesses competing priorities and exercises sound judgement in managing deadlines under pressure.
- Applies discretion when handling sensitive or confidential information, balancing client service with firm policies.
- Uses practical problem-solving skills to navigate unexpected challenges with client requests or administrative workflows.
