The SharePoint Administrator is the hands-on owner of the SharePoint Online environment at PACT (Pearson Accelerator Construction Team), a General Partnership of Alberici, Amico, Kenaidan and Obayashi, and keeps sites, permissions, content structure and workflows stable, governed and usable for program delivery. The role combines disciplined administration and a genuine front-line support component with contribution to SharePoint and collaboration platform architecture, standards and roadmap. The role works the IT ticket queue and resolves SharePoint, OneDrive and Teams-files issues through to root cause, while shaping the design patterns and information architecture that keep the platform supportable.
The position supports document throughput and automation for Document Control, the external collaboration and data access model, enterprise dashboards, permission hygiene for safe Microsoft Copilot use, and ISO 27001 and SOC 2 control requirements.
RESPONSIBILITIES
SharePoint Administration and Automation
- Administer SharePoint Online and OneDrive for Business day to day across the PACT tenant
- Provision sites, libraries and lists from standard templates for consistent, supportable workspaces
- Maintain site collection settings, features, storage allocation and quotas across the environment
- Manage site lifecycle across the environment, including archiving and decommissioning of inactive workspaces
- Monitor Microsoft 365 service health and advisories, and communicate impact and workarounds to affected users
- Apply tenant-level and site-level changes through controlled change management, with documented testing and rollback
- Build and maintain Power Automate flows and Power Apps forms on SharePoint lists for approvals and document routing
- Monitor flow health, hold automation connections on service accounts, and document automations for supportable hand-over
Platform Architecture and Strategy Contribution
- Contribute to the information architecture standard and site taxonomy applied across the program
- Define and maintain platform design patterns, templates and governance guardrails that keep collaboration work within the supported platform
- Recommend platform capability adoption and roadmap items for the SharePoint and collaboration estate
- Contribute to migration and consolidation planning for content moving into the platform
- Advise on integration points between SharePoint, Autodesk Construction Cloud and the wider Microsoft 365 estate
- Provide input to lifecycle, retention and archiving strategy for collaboration content across the estate
- Support the Data & Innovation team on dashboard data sources and data ownership hosted in SharePoint
Information Architecture and Document Control Interface
- Maintain standardized site and library patterns so workspace structure remains predictable to support
- Administer metadata, the managed term store, content types, document sets and library views
- Maintain naming and numbering conventions aligned to Document Control work instructions and the document-numbering system
- Configure version control, check-in and check-out behaviour, and retention settings on controlled libraries
- Administer the SharePoint and Autodesk Construction Cloud interface, including confidentiality and access-permission requirements
- Support Document Control platform needs, including work instructions, transmittals and controlled-document processes
- Document and consistently apply locations, permissions and hand-off points between the two platforms
- Coordinate site structure, access and workflow requirements with business owners across the program
Permissions and External Collaboration
- Design and maintain group-based permission models and security group structures in preference to individual grants
- Execute joiner, mover and leaver access changes driven by HR-system and Entra ID provisioning signals
- Administer guest and external-user access to SharePoint content at the resource level, including sharing scope and site membership
- Own periodic recertification of SharePoint content access held by external collaborators and guest accounts
- Refer Entra guest identity object lifecycle to the Azure 365 Administrator, who owns identity provisioning
- Enforce sharing-link policy and correct non-compliant sharing across sites, libraries and Teams-connected workspaces
- Maintain permission hygiene across sites, libraries and Teams to support safe Microsoft Copilot use
Support and Service Delivery (L1–L3)
- Work the ticket queue through the IT helpdesk intake and reinforce intake procedures so requests are logged and tracked
- Triage and resolve SharePoint, OneDrive, Teams-files and sharing issues from first contact through to root-cause resolution
- Escalate to Microsoft support or third-party vendors where required, and manage those cases to closure
- Share the service desk queue with the System Support Analysts and Azure 365 Administrator, coordinating escalations
- Provide platform support to both office-based and field-based staff for day-to-day operational needs
- Deliver user guidance and short training sessions on SharePoint and document handling
- Maintain runbooks, standard operating procedures and how-to material for the IT Operations & Support group
Governance, Security and Compliance
- Execute the SharePoint-scope portion of the quarterly access review cycle coordinated by the Manager, Security & Compliance
- Produce access-review evidence for the SharePoint estate supporting ISO 27001 and SOC 2 control requirements
- Report on sharing activity, permission changes and external access using Microsoft 365 audit logs
- Apply retention,
records and archiving requirements to controlled content held in SharePoint and OneDrive
- Support data-loss-prevention and sensitivity-labelling on SharePoint content against requirements set by the Manager, Security & Compliance
- Coordinate label and policy configuration with the Azure 365 Administrator, who performs the tenant-level configuration
WORKING CONDITIONS The position will be based at our office in Mississauga, Ontario, with visits to the Airport site as required. Your work schedule will be Monday to Friday during regular office or site hours. At times, operational needs may require work outside these hours, with reasonable notice provided. All schedule or on‑call adjustments will comply with applicable employment standards legislation. It is mandatory for all employees to complete a Criminal Background check and successfully attain a Restricted Access Identity Card (RAIC) upon joining the company. DESIRED SKILLS, KNOWLEDGE, COMPETENCIES
- Three to five or more years of hands-on SharePoint Online and OneDrive for Business administration
- Strong Microsoft 365 administration experience across the SharePoint admin centre, Teams files and OneDrive
- Three or more years of solution design and information architecture experience on collaboration platforms
- Demonstrated contribution to platform standards, design patterns or technology roadmaps, with migration planning experience preferred
- Demonstrated experience governing permissions, sharing policy and external collaboration at enterprise scale
- Practical build experience with Power Automate and Power Apps, with Power BI literacy considered an asset
- PowerShell scripting, including PnP PowerShell, for bulk administration, reporting and Entra ID group management
- Document management or records management experience gained in a structured, controlled document workplace
- Ticket-based service desk experience at L1 to L3, with strong customer service skills
- Documentation discipline covering standard operating procedures, runbooks and change records kept current
- Post-secondary education in information technology or a related discipline, or equivalent practical experience
- Construction, engineering or major capital program experience, including support of large external-collaborator populations, preferred
- Microsoft certifications such as MS-102, PL-400 or SC-400 preferred, with Autodesk Construction Cloud administration experience an asset
- Exposure to SharePoint Premium / Syntex, Purview retention and sensitivity labels, or ISO 27001 and SOC 2 control environments considered an asset
