Our client, a global leader within the Human Resources space, is looking for a highly organized and proactive Executive Assistant to support senior executive leadership, including the Global SVP, Talent, and the CHRO.This is a high-impact role within a fast-paced, matrixed setting where you will play a key part in ensuring seamless executive operations, communication flow, and cross-functional coordination. The ideal candidate thrives in a dynamic setting, demonstrates strong judgement, and brings a solutions-oriented approach to executive support.Benefits & Perks$75,000 – $85,000 base salary8% annual bonus3 days on-site in Downtown Toronto3 weeks’ vacationExposure to senior global leadership within a large, enterprise HR functionOpportunity to support strategic HR initiatives, including talent, business continuity, and executive operationsHigh-visibility role with strong potential for growth and developmentResponsibilitiesManage complex, multi-time zone calendars for senior executives, prioritizing meetings and commitmentsAct as gatekeeper for internal and external communications, managing inboxes and triaging requestsCoordinate domestic and international travel arrangements within tight timelinesProcess and submit expenses in a timely and accurate mannerOrganize executive meetings, including agenda preparation, minute-taking, and action trackingLead coordination of internal and external events (town halls, leadership meetings, team events, etc.)Prepare high-quality presentations, reports,
and executive correspondenceMaintain HR signing authority records and ensure accuracy across documentationManage access permissions for systems, including Teams, shared drives, mailboxes, and distribution listsSupport onboarding and offboarding processes within the HR functionConduct compliance and access audits to ensure data integrity and security standardsSupport HR Business Continuity planning, including documentation updates and stakeholder coordinationAssist with communication tools, training, and data collection for continuity planning initiativesQualifications5+ years of experience in an Executive Assistant or senior administrative support role, ideally within an HR environmentExperience supporting multiple senior leaders in a complex, matrixed organizationStrong organizational skills with the ability to manage competing priorities in a fast-paced environmentExcellent written and verbal communication skillsHigh level of discretion, professionalism, and sound judgementAdvanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams)Strong expertise in PowerPoint and Excel (advanced level required)Ability to work independently and anticipate executive needs proactivelyExperience within HR or large corporate environments is considered an assetBilingualism in French is considered an assetTo be considered, applicants must be legally entitled to work in Canada, including holding any required permits.#J-18808-Ljbffr
