A key responsibility involves drafting detailed Terms of Grant Agreements for complex, multi-year grant commitments, ensuring clarity and compliance with funding guidelines. The incumbent will also provide essential support to committees by preparing comprehensive reports that summarize grant activities and financial allocations. Ultimately, this role ensures that grant payments are processed accurately and promptly. Additionally, the role includes preparing regular reports detailing the availability of grant funds for management decision-making.Core Areas of ResponsibilityProcess grant payments for responsive, strategic, and donor-advised grant programsReconcile approved grants for responsive grant programs to ensure accuracy and completenessManage and maintain future-year grant tracking and reportingPrepare quarterly fund balance reports and grant availability reports for managementPrepare financial and operational reports for committee meetingsMonitor and manage strategic and multi-year grant commitments throughout their full lifecycleTrack outstanding unpaid grants and support timely resolutionGrant & Operational AdministrationDraft and manage Terms of Grant Agreements for strategic and complex grantsAdminister complex grants, including multi-year and strategic commitmentsCoordinate grant programs associated with Family Council,
including reporting and documentationPrepare management and committee agendas and supporting documentationRespond to grantee inquiries related to grant payments and processesOversee the process for rescinding outstanding or unused grant balancesMaintain operational filing, record-keeping, and documentation standardsCoordinate the submission of tickets for technical issues and fixes in the GMS, and support the remediation of those ticketsContribute to the compilation of system and business requirements to improve grant program workflows and processesProcess Improvement & CollaborationReview administrative and operational procedures and recommend improvements where appropriateContribute to streamlining processes, alignment, and continuous improvement across operations teamsContribute to a culture of accountability, collaboration, and service excellence within Community Impact OperationsEducation and ExperienceDiploma in administration and/or accounting/bookkeeping3-5 years of experience working in accounting/finance/administration within a charitable organizationExperience in a busy office environment with competing prioritiesAn equivalent combination of education, training and experience will also be consideredSkills and AbilitiesStrong knowledge and understanding of various non-profit organizationsDeep passion for philanthropy, the non-profit sector, donor stewardship, and making a positive impact within the communityDemonstrated experience in working on all stages of a grant’s operational cycleEffective written and verbal communication skillsStrong attention to detail and high level of organizationAbility to prioritize and consistently meet deadlinesExcellent communication and interpersonal skills (verbal, written, and in-person)Strong IT skills including Microsoft Office Suite and ability to learn new toolsHighly cooperative team playerProficient with Microsoft Office 365 (Word, Excel, PowerPoint, Teams, and Outlook)
