Travel Operations Assistant

Part-Time | In Person | West 4th Avenue & Yew Street, Vancouver The Role

We're looking for someone highly organized, conscientious, and curious to join an independent travel practice based at Renshaw Travel on West 4th Avenue in Vancouver.

Renshaw is a family-run travel agency that has been operating since the 1940s. The practice operates independently within Renshaw, with access to an experienced travel community, industry technology, and an extensive network of hotel and travel partners around the world.

After several years of building the practice as a solo operator, a growing client base has created the opportunity to bring someone into the business.

The role combines travel operations, administration, client service, and technology. The owner leads all client advisory work — the initial calls, trip recommendations, hotel selections, and relationship decisions.

Your role is to make sure every detail behind those decisions is executed flawlessly. Initially, the focus will be on keeping client trips organized and moving forward. Over time, there is an opportunity to become increasingly involved in client communication, travel research, and planning.

Previous travel-industry experience is not required.

What You'll Do A typical assignment might begin with several hotels ready to be booked for a client's upcoming trip. From there, you might book the properties, communicate with the hotels, arrange transfers, update the client's itinerary, and make sure every detail has been accurately recorded and followed through.

· Hotel bookings and reservation management

· Building and maintaining client itineraries

· Communicating with hotels, suppliers, and travel partners

· Pre-arrival confirmations and concierge requests

· Collecting and maintaining client information and documentation

· Keeping clients informed about next steps

· Following up on outstanding information and confirmations

· Tracking and following up on commissions

· Maintaining accurate client and trip records

· Identifying loose ends and ensuring they are resolved The role involves sensitive client information, including passports and payment details, so discretion and attention to detail are essential.

Who We're Looking For

Above all, we're looking for someone conscientious and dependable — someone who notices details, follows through, and takes responsibility for getting things done without needing constant direction.

Strong organization is important, but so is judgment. There may be many things happening at once, and the right person can learn to distinguish what is urgent, what is important, what can wait, and what requires someone else's expertise.

Previous experience in administration, operations, hospitality, customer service, technology, or another detail-oriented environment would be valuable.

Technology & Learning The role uses several industry systems, including ClientBase, Axus, Expedia TAAP, and the GDS. Previous experience with these platforms is not expected. Training will be provided.

There is also some light technical and back-end work,



with potential exposure to automation and basic coding. Programming experience isn't required — what matters is being comfortable with technology, learning unfamiliar systems, and figuring things out.

Where the Role Can Go The first few months will focus on learning the systems and developing a strong operational foundation. As experience and travel knowledge develop, there is an prospect to become more involved in direct client communication, travel research, recommendations, and trip planning.

There are also opportunities within the travel industry for firsthand experience, including hotel visits, industry events, property inspections, travel-partner relationships, and preferred or complimentary hotel stays.

For someone genuinely interested in travel, the position offers the opportunity to develop real expertise rather than simply perform administrative work.

Schedule & Environment

This is a part-time, in-person role, approximately four hours per day, four to five days per week, based at the Renshaw Travel office at West 4th Avenue and Yew Street — one of Vancouver's most walkable and well-connected neighbourhoods.

Hours are flexible — morning or afternoon — but consistency matters. Because so much of the information you'll need flows in real time through calls, decisions, and changes throughout the day, being in person is essential to how this role works. It allows context to pass quickly and efficiently, without creating additional layers of communication.

Compensation: $25/hour, paid by e-transfer.

There is real potential for this role to grow into a full-time position as the business develops.
