POSITION OVERVIEW The Welcome Desk & Membership Coordinator supports the Supervisor with the day-to-day operation of the Welcome Desk and Membership Team while maintaining a strong front-line presence. The Coordinator provides guidance and support to Welcome Desk Service Representatives and helps create a welcoming and positive experience for members, participants, guests, and visitors.Working closely with the Supervisor, the Coordinator supports staff coverage, scheduling, Dayforce timekeeping and timesheet review, employee onboarding and training, and other day-to-day operational needs.The position also supports the HMR Support Team and requires flexibility to work a variety of shifts, including early mornings, evenings, weekends, and holidays based on operational needs.
CORE RESPONSIBILITIES
- Support the day-to-day operation of the Welcome Desk and Membership Team, including staff coverage and front-line support as needed, while providing welcoming, inclusive, and exceptional service and contributing to membership growth and retention goals.
- Build positive relationships with members and connect them with YMCA programs, services, events, and membership opportunities.
- Respond to member questions, concerns, and service issues, bringing more responsible or unresolved concerns to the Supervisor.
- Provide day-to-day guidance and support to Welcome Desk Service Representatives and volunteers.
- Assist with employee onboarding, orientation, training, team huddles, and staff communication.
- Support opening and closing procedures, facility checks, required documentation, and overall cleanliness, safety, and presentation of the facility.
- Support the Supervisor with administrative tasks, reports, records, supplies,
equipment needs, and operational follow-up.
- Assist with YMCA programs, events, activities, membership initiatives, and departmental needs as required.
- Work collaboratively with other YMCA teams and identify opportunities to improve member service and day-to-day operations.
- Support employee engagement, recognition, and a positive workplace culture.
- Promote and uphold the YMCA's mission, values, policies, service standards, and The Y Way.
- Participate in the Annual Campaign and other YMCA fundraising activities.
DAYFORCE RESPONSIBILITIES
- Support the Supervisor with creating and maintaining employee schedules in Dayforce, including staff coverage, schedule changes, and operational needs.
- Support the Supervisor with reviewing employee timesheets in Dayforce, identifying missing punches, missed meal punches, discrepancies, or other timekeeping concerns, and following up with employees as needed to ensure timesheets are accurate and ready for approval.
- Help employees understand and use Dayforce correctly, including clocking in and out, recording meal breaks, reviewing schedules, requesting time away from work, and completing other employee self-service responsibilities.
- Monitor Dayforce scheduling and timekeeping information and bring outstanding items, errors, or concerns to the Supervisor in a timely manner.
- Support new employees with learning their Dayforce responsibilities as part of onboarding and orientation.
SKILLS AND QUALIFICATIONS
- Post-secondary education or equivalent experience, or a minimum of 2 years of experience in recreation, program, membership, customer service, or a related field.
- Experience in health, membership,
recreation, or aquatics is an asset.
- Strong oral and written communication skills.
- Excellent interpersonal and customer service skills with the ability to build positive relationships with diverse populations.
- Strong organizational skills with the ability to multitask and manage multiple priorities.
- Strong problem-solving and decision-making abilities.
- Ability to provide day-to-day leadership, guidance, and coaching to staff and volunteers.
- Comfortable learning and using Dayforce or similar scheduling, timekeeping, and employee management systems, with strong attention to detail and accuracy.
- Experience with Microsoft applications and other operating systems.
- Current First Aid, CPR, and AED certification, or willingness to obtain.
- Employment is contingent on a cleared Criminal Record Check with Vulnerable Sector Search.
