We are seeking a highly organized and proactive Project Coordinator to join our dynamic project management team. This role is essential in supporting project planning, execution, and delivery by coordinating various activities across multiple teams. The ideal candidate will possess a strong foundation in construction processes, project management tools, and effective communication skills to ensure projects are completed on time, within scope, and to the highest standards of quality. This position offers an exciting chance to contribute to complex projects while developing expertise in construction coordination and management.
General Responsibility:
- Responsible for providing administrative support to the department such as filing and keeping records for on-going projects and awarded contracts.
- Project Facilitation.
- Coordination of schedules (deliveries, pick ups. etc.).
- Create purchase orders.
- Create sales quotes.
- Create invoices and email to third party customers/clients.
- Collections / payment follow up.
- Preparing cost sheets.
- Preparation of delivery schedules for staff.
- Sourcing and ordering of materials & hardware.
- Complete accounting tasks (i.e., sorting and posting of invoices, following up on billing/payments).
- Answering all calls and emails.
- Communicate with installer for scheduling new installations.
- Communicate with vendors for new pricing list and update records.
- Negotiating pricing for materials.
- Following up on approval of drawings.
- Maintains safe work practices by using all required safety equipment
- Comply with safety rules; report all accidents,
incidents, and potential hazards immediately.
- Understand and comply with the worker responsibilities and rights as outlined in the Occupational Health and Safety Act (OH&S;) of Ontario, as well as the Company’s safety rules.
Skills & Experience
- Minimum 2+ years project coordination.
- Proven experience in construction or civil engineering environments with a solid understanding of construction processes.
- Strong knowledge of blueprint reading and technical drawings.
- Knowledge of MS Office proficiency.
- Must have experience with Microsoft Dynamics; Navision.
- Experience in the construction industry an asset.
- Excellent customer service skills.
- Comfortable with inventory management computer systems.
- Strong communication skills required.
- Ability to multi-task in a fast-paced environment.
- Ability to work independently with minimal supervision.
- Ability to analyze data and provide insights from data.
- Ability to exhibit a professional attitude and image with a commitment to quality service.
- Highly organized, with high level of accuracy, thoroughness and attention to detail.
- Ability to work well under pressure and meet deadlines for critical tasks.
- Strong work ethic, motivation, interpersonal and judgment skills.
Job Types: Full-time, Permanent
Pay: $50,000.00-$60,000.00 per year
