Position Summary

Wheel King Transhaul Inc. is seeking a highly organized and proactive Service & Maintenance Coordinator to oversee the maintenance scheduling, repair coordination, and regulatory compliance of our truck and trailer fleet. The ideal candidate will have hands-on experience in truck and trailer maintenance, strong knowledge of fleet operations, and prior exposure to dispatch or transportation coordination.

This role acts as the bridge between drivers, dispatchers, vendors, and management to ensure fleet reliability, regulatory compliance, and maximum equipment uptime.

Key ResponsibilitiesFleet Maintenance & Service Coordination

- Coordinate preventive maintenance schedules for company trucks, trailers, and related equipment.
- Monitor and track maintenance intervals, inspections, repairs, and service records.
- Schedule repairs with dealerships, service centers, mobile mechanics, and vendors.
- Ensure all fleet equipment remains compliant with MTO, CVOR, DOT, and safety regulations.
- Maintain maintenance records, work orders, invoices, warranty claims, and repair histories.
- Conduct daily review of vehicle defects reported by drivers and ensure timely corrective actions.
- Monitor breakdowns and arrange roadside assistance when required.
- Track maintenance costs and provide recommendations for cost-saving initiatives.
- Coordinate annual safeties, emission testing, licensing, and permit renewals.
- Work closely with operations to minimize downtime and maximize fleet utilization.

Dispatch & Operations Support

- Assist the dispatch team with equipment planning and fleet availability updates.
- Coordinate truck substitutions during maintenance periods.




- Monitor driver communications regarding equipment issues and service requirements.
- Support dispatchers in route planning by providing real-time equipment status updates.
- Assist in tracking tractor and trailer utilization.
- Coordinate recovery plans for breakdowns and roadside emergencies.
- Ensure repaired equipment is returned to service promptly and communicated to dispatch.

Vendor & Inventory Management

- Maintain relationships with repair facilities, dealerships, tire vendors, and parts suppliers.
- Source and negotiate pricing for repair services and replacement parts.
- Manage inventory levels for commonly used maintenance parts and shop supplies.
- Monitor vendor performance and service quality.

Compliance & Reporting

- Ensure compliance with company maintenance policies and transportation regulations.
- Prepare maintenance reports and fleet performance metrics.
- Track repair trends and recurring equipment failures.
- Support safety and compliance audits.
- Assist management with budget forecasting and maintenance planning.

QualificationsRequired

- 2+ years of experience in truck and trailer maintenance coordination, fleet maintenance, or transportation operations.
- Strong understanding of Class 8 truck and trailer maintenance requirements.
- Working knowledge of preventive maintenance schedules and commercial vehicle inspections.




- Experience coordinating repairs and working with external service providers.
- Knowledge of transportation regulations and fleet compliance requirements.
- Proficient in Microsoft Office Suite (Excel, Outlook, Word).
- Strong organizational and multitasking skills.
- Excellent communication and problem-solving abilities.

Preferred

- Previous experience in dispatch, load planning, or transportation coordination.
- Experience using fleet maintenance software and transportation management systems.
- Knowledge of CVOR, DOT, ELD, and Hours-of-Service requirements.
- Familiarity with Ryder, Penske, Fleet Complete, Geotab, Active Aero, McLeod, or similar fleet systems.
- Post-secondary education in Transportation, Logistics, Fleet Management, or a related field.

Pay: $20.00-$21.00 per hour
