Job Summary
Reporting to the Travel Supervisor as a key member of the Camp & Travel Department, you will coordinate workforce travel and accommodations while supporting travel systems, reporting, and continuous improvement initiatives. In this role, you will ensure departmental goals are achieved while promoting and respecting company values, the Health & Safety Code of Conduct, and the environment.
Key Responsibilities
- Logistics Coordination: Manage commercial flights, charter flights, bus transportation, accommodations, and travel logistics for employees, contractors, and visitors.
- Workforce Management: Process Travel Request Forms (TRFs) and maintain accurate travel and accommodation records within specialized systems.
- Reporting & Data: Generate and distribute daily, weekly, and monthly travel and accommodation reports.
- Stakeholder Support: Support departmental administrators and business partners with travel planning, booking requirements, and travel-related inquiries.
- Disruption Management: Monitor daily arrivals and departures; actively resolve travel disruptions, schedule changes, and accommodation conflicts.
- Data Auditing: Audit traveler profiles and accommodation data to ensure accuracy and compliance.
- Tech Operations:
Utilize Microsoft 365 applications (Outlook, Excel, Teams, SharePoint) to support daily operations.
- Digital Improvement: Support digital solutions and workflow improvements through tools such as Power Automate, Power Apps, and Microsoft Forms.
What You Need to Succeed
- Education: Post-secondary education in Business Administration, Travel & Tourism, Hospitality, or a related field.
- Experience: Minimum three (3) years of experience in travel coordination, logistics, camp services, hospitality, or administration.
- Core Skills: Excellent customer service, communication, and stakeholder management skills combined with strong organization to manage multiple priorities in a fast-paced environment.
- Software Proficiency: Advanced proficiency with the Microsoft Office Suite (Outlook, Excel, Teams, Word).
Assets (Considered a Plus):
- Experience with SharePoint, Power Automate, Power Apps, Microsoft Forms, or other workflow automation tools.
- Experience with JDE, accommodation software (CIRYS & Campware), or any workforce management systems.
- Experience working in mining, remote camp operations, transportation, or workforce logistics.
