Dean Group is now searching for an HR Operations Specialist for growing client in Waterloo.
Position: HR Operations Specialist
Type: Contract; 6 months with potential to become permanent
Location: Waterloo, ON
Shift: Full time, Monday–Friday, in office 5 days per week
Pay rate: $24 - $28/hour depending on experience

About the Role
This generalist HR role will serve as a key point of contact for employees and managers, supporting a variety of HR processes including onboarding and offboarding, employee leave administration, HRIS transactions and data maintenance, employment documentation, audits, compliance, training coordination, and HR initiatives.
The ideal candidate is highly organized, comfortable managing multiple priorities in a fast paced environment, and committed to providing responsive and accurate HR support.
This is a 6 month contract opportunity with potential for extension based on business needs.
Key Responsibilities
- Coordinate employee onboarding activities, including recent hire documentation, orientation scheduling, system and access requests, stakeholder notifications, and employee communications.
- Coordinate employee offboarding activities, including departure documentation, required notifications, records updates, and return-of-property follow-up.
- Maintain employee leave records, monitor key dates, and coordinate communications with employees, managers, Payroll, Benefits, HR, and external providers as required.
- Coordinate and process employee lifecycle transactions within the HRIS, ensuring data accuracy, required approvals, and complete supporting documentation.
- Respond to employee and manager inquiries through HR service channels, shared mailboxes, and other intake processes.
- Provide guidance on HR policies, programs,
processes, and documentation requirements, while escalating complex or sensitive matters as appropriate.
- Draft employment related letters and correspondence, including employment confirmations, status change letters, and other standard HR documentation.
- Support HR initiatives and projects by coordinating communications, materials, logistics, tracking, and follow-up activities.
- Support internal and external audits by gathering documentation, maintaining records, tracking requests, and coordinating follow-up actions.
- Assist with policy administration, compliance activities, records management, and required employee communications.
- Maintain confidentiality and exercise discretion when handling employee information and HR records.
- Perform other related HR operational and administrative duties as assigned.
Qualifications & Skills
- Post secondary education in Human Resources, Business Administration, or a related field is an asset.
- 2+ years of experience in HR administration, HR coordination, or an HR generalist role.
- Hands on experience with HRIS systems, including processing employee transactions and maintaining accurate employee data.
- Strong customer service skills with experience responding to employee and manager inquiries and providing guidance on HR policies, processes, and documentation.
- Strong attention to detail and ability to manage confidential employee information.
- Excellent organizational
- Ability to manage multiple priorities in a fast paced environment.
- Strong written and verbal communication skills.
- Experience with ADP Workforce Manager is considered an asset.
- Proficiency with Microsoft Office, particularly Outlook and Excel.
