Position Summary
We are seeking a highly organized and detail-oriented Dispatch Coordinator to oversee daily fleet operations and ensure the effective movement of drivers, vehicles, and freight. The ideal candidate will be responsible for scheduling routes, communicating with drivers in real time, and ensuring deliveries are completed safely, on time, and in compliance with company and regulatory standards. This role is fast-paced and requires strong communication skills, problem-solving ability, and the capacity to manage multiple priorities simultaneously.
Key Responsibilities
- Coordinate and dispatch daily routes for company drivers and equipment.
- Assign loads to drivers based on availability, hours of service, location, and equipment type.
- Coordinate daily city pickups and deliveries and assign drivers based on priority and delivery schedules.
- Monitor city drivers and adjust routes when required due to traffic, delays, or urgent pickups.
- Monitor driver progress throughout the day and provide real-time support as needed.
- Communicate clearly with drivers regarding schedules, route changes, pickup and delivery instructions.
- Respond to delays, breakdowns, weather disruptions, and other operational issues.
- Ensure compliance with Hours of Service (HOS) regulations and company safety policies.
- Maintain accurate records of dispatch activities, driver assignments, and delivery status updates.
- Work closely with customers, brokers, warehouses, and internal departments to ensure on-time pickups and deliveries.
- Coordinate multiple city pickups and deliveries to reduce driver waiting time and improve efficiency.
- Coordinate with maintenance and safety teams regarding vehicle issues or incidents.
- Assist with load planning and scheduling to maximize equipment and driver utilization.
- Provide support to drivers regarding documentation, trip planning, and operational questions.
- Handle emergency situations professionally while keeping safety as the top priority.
- Perform other dispatch and administrative duties as required.
Qualifications
- 1-2 years experience in transportation dispatching, logistics coordination, or fleet management preferred.
- Knowledge of trucking operations and Hours of Service (HOS) regulations is an asset.
- Strong communication and interpersonal skills.
- Excellent organizational and multitasking abilities in a fast-paced environment.
- Ability to problem-solve quickly and make sound decisions under pressure.
- Proficiency with dispatch software, GPS tracking systems, and Microsoft Office.
- Strong attention to detail and accuracy in documentation.
- Ability to work flexible hours, including occasional evenings or weekends if required.
Working Conditions
- Office-based role in a fast-paced logistics environment.
- Frequent communication with drivers via phone, text, and dispatch systems.
- May require extended periods of computer and phone use.
- Occasional after-hours availability depending on operational needs.
Reports To
- Operations Manager
Pay: $40,000.00-$48,000.00 per year
