Job Summary

Reporting to the QC Manager, the Materials & Document Control Coordinator supports material receiving, shipping, traceability, and quality documentation processes from purchase order release through fabrication, shipment, and field verification. This role helps ensure material and document requirements are captured, incoming materials are inspected and recorded, MTRs and traceability logs are maintained, shipping records are issued and verified, and controlled QC documents are distributed, approved, and retained accurately. The position works closely with QC, shop, planning, project coordination, AP, shipping, receiving, couriers, freight providers, and drivers to keep material movement, documentation, and records clear, complete, and traceable.

Responsibilities

- Review purchase order requirements and ensure material and document requirements are clearly identified before fabrication or release.
- Receive incoming shipments by reviewing purchase orders, packing slips, and supporting documentation for completeness and accuracy; inspect materials for damage, shortages, or discrepancies; and coordinate follow-up reporting and resolution.
- Obtain Material Test Reports from suppliers and verify chemical and physical properties against applicable specifications.
- Maintain material transfer records, traceability logs, storage-location records, counts, and material transaction records.
- Quarantine and control non-conforming material and report discrepancies, shortages, damage, or delays promptly to the appropriate teams.
- Confirm drawing revisions are released for fabrication and support material readiness for shop production and field mobilizations.
- Issue shipping records and verify field-received materials against the shipping record.
- Coordinate couriers, freight providers, and drivers for pickups and deliveries,



including communication of material status, shortages, and delays to planning, project coordination, QC, and AP.
- Move, store, stage, and preserve materials in designated locations to maintain traceability for shop production and field mobilization.
- Create and maintain shipping documents, labels, logs, tracking records, and clear digital records in accordance with document-control procedures.
- Maintain version control and support the approval, distribution, and retention of QC documents while assisting with improvements to shipping, receiving, inventory-control, and document-control systems.

Skills & Abilities

- Demonstrated ability to apply shipping, receiving, inventory coordination, document control, or quality documentation practices in an industrial environment.
- Strong understanding of material traceability, receiving documentation, packing slips, MTRs, shipping dossiers, labels, logs, and controlled records.
- Excellent attention to detail with the ability to verify material and documentation requirements against purchase orders, specifications, and shipping records.
- Strong communication and follow-up skills, with the ability to coordinate effectively with QC, shop, planning, project coordination, AP, shipping, receiving, couriers, freight providers, and drivers.
- Ability to organize materials, preserve traceability, maintain accurate records, and support process improvements in a rapid-paced fabrication environment.
- Ability to lift up to 50 lb safely.

Qualifications





- High school diploma or equivalent is required. Post-secondary education or training in supply chain, logistics, quality management, business administration, document control, or a related field is considered an asset.
- Previous experience in one or more of the following areas is preferred: shipping and receiving, materials coordination, inventory control, document control, or quality documentation.
- Proficiency with Microsoft Office Suite, electronic file management, and inventory, document-control, or ERP systems is required. Experience with SharePoint or similar platforms is considered an asset.
- Knowledge of base material grades used in structural and piping applications is considered an asset.
- CWB Level 1 Welding Inspector certification, or the ability to obtain it, is considered an asset.
- Experience with or knowledge of industrial material procurement is considered an asset.
