Position Summary

Based out of Burlington, ON,



the Property Administrator contributes to Crombie’s success by projecting a positive and professional image at all times and ensuring our tenants receive the highest level of customer service. This role is a key provider to the operational success of various Crombie properties through the development and implementation of effective procedures for the continuous improvement of administrative property operations. Additional duties of the Property Administrator include but are not limited to:

- Providing administrative support, including the preparation of general correspondence, and maintaining files.
- Serving as the primary point of contact for internal stakeholders, as well as suppliers, regarding property level invoice processing and payment inquiries.
- Processing Operations payment documents (including invoices, for all required information and authorization)
- Conducting accurate and timely processing of all supplier invoices.
- Routing property service requests and inquiries to the appropriate third-party contractor or service provider.
- Providing ownership for data entry for various operational systems including monthly accruals.
- Working with the AP team to reconcile vendor accounts, as required.
- Assisting with tenant accounts reconciliations, initiating collection escalation activities to ensure that rents are paid on a timely basis.
- Ensuring all contractor files are complete and up-to-date.
- Contacting clients and other third parties as required.
- Updating electronic files as required and ensuring that paper filing is organized and complete.
- Identifying problems and discrepancies from vendor correspondence, internal inquiries or based on system reports.
- Collecting and verifying contractor and tenant insurance information.
- Preparing annual service contracts.
- Liaise with various internal groups and departments at Crombie.




- Providing superior customer service to all Crombie employees, clients, and suppliers by responding professionally and promptly to all questions, inquires and requests.
- Assists in reviewing, reporting on, and ensuring completeness for our utility, waste, and other ESG metrics.
- Engages across all levels of the organization to create and promote a safe and respectful work environment.
- Other duties and special projects as assigned.

Compensation

We are committed to offering competitive compensation and a comprehensive total rewards package. Base salary/hourly rate is thoughtfully determined based on a range of factors, including location, role scope and level, relevant education and training, experience, skills, and qualifications, while ensuring internal equity and alignment with market data.

Expected salary range: CAD $57,900 - $78,300 per annum.

The profile we are looking for

- Three to five years (3-5) of administrative experience, commercial real estate or administration.

- A post-secondary diploma in Business or Office Administration or related experience.

- Proficiency in MS Office Suite.

- Bilingual in English and French, both spoken and written is considered an asset.

- Ability to work independently with a methodology in tasks and saving documents to internal websites.

- Experience in organizing and working with the public.

- Professionalism and superior communication skills both verbally and written.

- Ability to develop and build upon existing relationships both internally and externally.

- Clear Criminal Record Check.
