About the role
ASI Group is seeking an experienced HR professional who enjoys being close to the work. This role combines direct ownership of payroll and perks with broad HR administration across multiple business units, legal entities, provinces and union groups.
You will work closely with the Senior HR Manager, Finance and site and project leaders. Your first priority will be running accurate, timely payroll and keeping employee data, benefits records and HR documentation complete and current. You will also manage the practical parts of onboarding, off-boarding and employee support in an ISO-certified environment.
What you will own
Payroll and pay administration
- Process payroll accurately and on time across ASI's business units and legal entities.
- Collect and validate payroll inputs, investigate discrepancies and resolve issues before payroll is finalized.
- Administer vacation and leave accruals and support statutory remittances and required reporting.
- Apply established pay rules for union and specialized workforce classifications, working with Finance and the Senior HR Manager when interpretation or approval is required.
Benefits and HRIS administration
- Manage benefit enrollments, changes and terminations, and respond to employee questions.
- Reconcile benefit invoices against enrollment records and support the annual renewal process.
- Serve as the day-to-day administrator for ADP Workforce Now following implementation, including employee data maintenance, data checks and reporting.
- Maintain accurate employee records needed by HR, Finance and audit teams.
Employee lifecycle and HR support
- Coordinate onboarding from offer documentation and employment agreements through background checks, system setup and orientation logistics.
- Manage offboarding administration, including final pay information, documentation and system access changes.
- Act as the first point of contact for routine employee questions,
referring sensitive or complex matters to the Senior HR Manager.
- Coordinate performance review administration and support policy, handbook and contractor classification work.
Union, compliance and audit support
- Maintain union classification, pay rate, dues and grievance records across ASI's bargaining units.
- Prepare documentation for labour relations meetings and collective bargaining under the direction of the Senior HR Manager.
- Keep training, certification, onboarding and personnel records complete and ready for internal and external ISO audits.
- Maintain working knowledge of employment standards in the provinces where ASI operates and raise questions when a rule or exception requires review.
What success looks like
- Payroll is completed accurately and on schedule, with discrepancies caught before final processing.
- Employee and payroll data in ADP is complete, current and dependable.
- Benefit enrollments and invoices match, and employee questions are handled promptly.
- Union classifications, dues and related records are accurate.
- HR files remain complete and ready for audit.
- Managers, employees and Finance know what to expect and receive clear follow-through.
What you bring
Required
- Hands-on experience independently processing payroll. You can validate inputs, spot unusual results, apply different pay rules and resolve issues before payroll is completed.
- 3 to 5 or more years of progressive HR, payroll or HR operations experience, ideally in a multi-entity or multi-province environment.
- Direct experience administering employee benefits and maintaining confidential employee records.
- Experience with a unionized or classification-based workforce and comfort applying collective agreement pay provisions.
- Working knowledge of Ontario employment standards and the ability to research and apply requirements in other Canadian provinces.
Preferred Experience
- Administering ADP Workforce Now or another HRIS and payroll platform.
Assets
- Experience in an ISO-certified or similarly audited environment.
- U.S. payroll or HR exposure.
- CHRP, CHRL or PCP designation, completed or in progress.
How you work
- You catch details others may miss and follow through without being chased.
- You ask questions when information or results do not look right.
- You stay organized through fixed payroll deadlines and competing priorities.
- You are comfortable bringing order to processes that are still being built or improved.
- You communicate clearly with employees, managers, Finance and field teams.
- You handle confidential information with sound judgment and care.
Growth in the role
As ASI's HR systems and processes mature, there may be opportunities to take on broader HR program work based on business need, performance and interest. This is not a promised promotion or fixed career path.
