Qualifications
MINIMUM FORMAL EDUCATION/TRAINING:
- The position requires a bachelor’s degree from a recognized post-secondary institution (or an acceptable equivalent of experience and education).
EXPERIENCE:
- Two years of directly related experience required.
- Knowledge and experience working with university computer systems, i.e., Aurora Student, Banner, Banner Student Aid, admission processes, government student aid and university awards programs is required.
- Familiarity and experience with the University’s financial systems, including Accounts Payable, Accounts Receivable and Trust and Endowment, is required.
- Experience working with students in the post-secondary or high school system is required.
- Experience as a student or staff member of the University of Manitoba preferred.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- The incumbent must be able to organize a heavy workload and multiple tasks simultaneously. Must be able to set priorities and meet strict deadlines, with minimal supervision and be self-motivated.
- Excellent interpersonal, oral and written communication skills and demonstrated problem solving skills required.
- Must be a good public speaker.
- Ability to relate to high school students in an effective manner required.
- Ability to learn detailed information quickly and retain new knowledge is required.
- Proficiency in using advanced features associated with the current versions of Word, Excel, Access, PowerPoint, and Adobe required.
- Ability to work both independently and as a member of a team required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
Key responsibilities
Administrative/Supervisory
- The incumbent serves as the Award Selection Lead, overseeing the administrative functions of the area and supervisory roles. These duties will include:
- In the Director’s absence will assume temporary supervisory responsibilities for Financial Aid and Awards.
- Will work directly with the Awards Establishment Lead and the Front Line Lead,
to unite all areas of FAA to strengthen current awards processes and regulations.
- Provides daily supervision of the awards selection unit which consists of two Award Selection Coordinators, one Award Assistant and up to two students. Daily oversight will include allocation of work assignments, on-the-job training, performance management, interviewing, recommending, and, working with the Director on hiring and discipline.
- Reviews, monitors, and tracks overtime, time off, use of banked time and vacations.
- Manages all elements of student and casual staffing needs, including posting, interviewing, hiring, assigning duties, set-up of workplaces, monitoring performance, etc.
- Provides guidance and mentorship to all areas of Awards Selection, serving as a role model demonstrating sound judgement, unquestionable ethics, and a commitment to qualified standards.
- Provides daily trouble-shooting and problem-solving support for the selections staff.
- Represents the office by attending and participating in university committee meetings as needed.
- Assists the Director of FAA in the development and management of the annual budget, including staffing recommendations.
- Ensure that university print and web documents are reviewed and updated as required.
- Actively seeks learning and development opportunities, and opportunities to represent the office through participation in committee or campus events.
Award Programs
- The incumbent ensures that the Entrance Scholarship program is completed annually, beginning in early May of each year. Approximately 1,400 student award offers.
- The incumbent will work with the Director to set annual priorities pertaining to the needs of the unit for student award funding.
- The incumbent acts as a spokesperson at university events.
The incumbent ensures that publicity for the University of Manitoba bursary and/or scholarship program is created and disseminated to faculty, students, and support staff – and ensure they are aware of these awards especially those requiring applicants in specialized areas of study; "publicity" includes posters, department website updates, notices of awards
- -detailing areas of study and conditions of the award—and letters to deans, directors and chairpersons of faculty awards committees where applicable.
- The incumbent ensures the review and assessment of more than 7,000 undergraduate and graduate bursary applications within strict deadlines in the fall term.
The incumbent ensures eligibility lists for the awards office and faculty-based selection committee meetings are ready for award cycles; ensures that all eligible applicants are considered and that the stated intentions of donors are honored when selecting candidates for awards
- -this requires a good knowledge of the terms of reference of awards as well as of the University's academic programs. The incumbent will ensure that the office attends award selection meetings as required.
- The incumbent ensures that "award selection forms" from faculties, schools, and departments are monitored to ensure that they are processed within cyclical timelines.
- The incumbent ensures that certificates and prizes for both spring and fall convocations are ordered. The incumbent ensures that the final list of all convocation award recipients is submitted to the Director of Financial Aid and Awards for approval prior to the list being submitted to University Senate for approval. The incumbent ensures that recipients, donors, & the Marketing and Communication Office are advised of award recipients.
- The incumbent attends events (such as receptions honoring award recipients of internal and external awards).
- The incumbent ensures that the selection and notification of award recipients take place during appropriate award cycles.
- The incumbent ensures that a review is conducted of reports generated by Finance authorizing refunds to students who are award recipients.
- Other duties as assigned.
