Marketing and Sales Coordinator – Automated Parking Systems

$45,000–$55,000 base salary + deal bonus

We need someone to own the engine behind our sales operation. You're the person responsible for generating quotes, coordinating tenders, supplier pricing, following up on proposals, and handling the back-end work that closes deals. You'll also support client presentations, run lunch-and-learns, and take smaller opportunities from enquiry to close. On top of that, you keep the Director's day organized: CRM logged, communications tracked, schedules coordinated.

About WVIP Automated Parking

WVIP designs, engineers, installs, and services automated and semi-automated parking systems across the Greater Toronto Area — built on more than two decades of engineering, with more than a dozen GTA installations. Our six technology lines cover fully automated robotic systems, semi-automated platforms, mechanical stackers, vehicle turntables, car lifts, and automated bike parking.

Our clients are developers, architects, and general contractors. Our mission: more cars, far less concrete.

The Role

You own quotations, tenders, budgets, supplier coordination, and proposal follow-up. You also present to consultants, run lunch-and-learns, manage your own smaller accounts, and support larger opportunities. You're simultaneously the person who generates the proposal and the person who follows up on it and closes it. You also keep the Director's CRM current, manage his schedule, track his communications, and make sure nothing falls through the cracks on his side.

What You Do

Quotations, Budgets & Tenders

- Generate formal quotations and budget proposals from project briefs; you own the accuracy and completeness
- Review drawings, identify site constraints, flag scope issues, and ask the right questions before anything goes to a client
- Prepare budgets and cost estimates for proposals; collect and organize supplier input
- Respond to tenders: prepare submissions, meet deadlines, coordinate technical information
- File, version-control, and track every quotation — log date issued, follow-up date, outcome, reason
- Chase proposals through follow-up to decision; you own the close or the loss note

Supplier & Vendor Coordination

- Request quotations from electrical contractors,



installers, riggers, freight, and customs
- Chase suppliers and the OEM for drawings, certificates, technical answers, and compliance documents
- Handle correspondence with the factory on layouts and document requests
- Maintain a current vendor database: contacts, pricing, lead times, performance notes
- You identify issues (missing quotes, delays) and escalate

Sales Support & Presentations

- Prepare materials for client presentations
- Deliver lunch-and-learn presentations at architecture and developer offices — you book it, you present it
- Run or co-run site tours and installation demonstrations
- Attend client calls and meetings; take notes and issue summaries with action items same-day
- Answer product and scope questions in writing and in person (escalate only when necessary)

Account Management

- Take smaller opportunities from first contact through quotation and close
- Support the Director on larger opportunities: prepare materials, manage follow-up, coordinate vendor input

Support Director of Sales — Day-to-Day Operations

- Manage the Director's CRM: ensure all his client interactions, calls, and opportunities are logged and current
- Coordinate his schedule: book meetings, send invitations, confirm attendance, prepare pre-meeting briefs
- Track his communications: flag urgent emails, summarize threads, manage his inbox for client-critical items
- Prepare materials for his client meetings: draw up briefs, pull project files, organize talking points
- Follow up on his behalf: when he needs information, you source it; when a client needs a response, you draft it for his review
- Manage his proposal follow-up list: ensure every deal he's working has a next date and status

Systems & Administration

- Everything in SharePoint with consistent naming: proposals, drawings, quotes, vendor files
- Maintain CRM for your accounts and the Director's accounts: log opportunities, track follow-ups, record outcomes
- Procore, Aconex,



OEM portal management: submissions, compliance, status tracking
- Every client-facing document proofread and polished before send

What You Bring

Must Have

- Excellent written English — proposals and client emails are your work
- Able to generate quotations, read drawings, and understand project scope
- Organized by nature — keep lists, work through them, notice what's missing
- Comfortable with sales cycles and follow-up; persistent without being awkward
- Presentable and comfortable presenting to groups and clients
- Comfortable with technology; learn platforms quickly
- Able to manage multiple priorities: your own accounts and the Director's schedule at the same time

Helpful

- 2–4 years in construction, building products, mechanical systems, elevators, or estimating
- Experience preparing quotes, tenders, or budgets
- Can read a drawing and spot a problem
- Driver's licence and access to a car for site visits
- Previous sales or client-facing experience

The Fit

You're supporitng the sale's cycle. The Director may bring in the large, complex deals, but tenders, quotes, supplier coordination, and smaller accounts are yours to own. You also keep his day running. You need to be self-directed, detail-oriented, comfortable with accountability, and able to handle supporting someone else's work while doing your own. You're willing to follow up on his behalf without needing credit.

Compensation & Benefits

- $45,000–$55,000 base salary per year (based on experience)
- Deal bonus: $500–$1,500 per closed contract (based on contract value and complexity)
- Two weeks' vacation

The Details

- Job type: Full time, Permanent
- Schedule: Monday to Friday, 8:30 a.m.–5:00 p.m., with flexibility for client meetings and events
- Work location: In person — Toronto office (Berkeley St), with regular field travel for presentations and site visits
