McDougall Auctioneers is seeking a dedicated, versatile team member for a Remarketing Administrative Assistant. The Remarketing Administrative Assistant is responsible for coordinating and supporting the remarketing process from asset intake through sale completion and settlement. This role ensures assets are processed efficiently, deadlines are met, and company standards are maintained while providing administrative support to the Remarketing Department.

Requirements:

· High school diploma or equivalent; post-secondary education is considered an asset.

· Excellent verbal and written communication skills in English, with the ability to type a minimum of 35 WPM.

· Strong computer skills, including proficiency with Microsoft Office programs and Adobe Acrobat.

· Ability to follow established processes and procedures while working independently and collaboratively in a fast-paced environment.

· Strong customer service skills with the ability to communicate professionally with customers, clients, and service providers by phone, email, and in person.

· Excellent prioritization, organizational, problem-solving, and multitasking abilities.

· Self-motivated, ambitious, and eager to learn while maintaining a professional attitude.

· Strong attention to detail and commitment to maintaining confidentiality.





· Ability to adapt to changing priorities and support various departments as business needs require.

· Knowledge of construction equipment, agricultural equipment, and vehicles is considered a strong asset.

Key Responsibilities:

- Review contracts and supporting documentation for accuracy and completeness.
- Post assets and listings online in accordance with company standards and deadlines.
- Create, review, and update electronic contracts and asset descriptions.
- Prepare, process, and distribute invoices and related documentation.
- Maintain accurate records within company databases and software systems.
- Coordinate settlement documentation and reporting.
- Ensure listings, invoices, and supporting documents meet company formatting and quality standards.
- Arrange transportation, freight, towing, and other logistics as required.
- Work closely with Operations, Sales, Transportation, Finance, and other departments to ensure efficient workflow.
- Monitor internal task boards, workflow systems, and deadlines to ensure tasks are completed on time.
- Assist with organizing sales and prioritizing assets for upcoming auctions and events.
- Respond to internal and external inquiries and provide administrative support to clients, service providers, and staff.




- Identify process improvements and assist with the implementation of new systems and procedures.
- Report software issues, workflow gaps, and operational concerns to management.
- Assist with preparing reports, correspondence, and other departmental documentation.
- Perform general administrative duties, including data entry, filing, record maintenance, and document management.
- Support the day-to-day operations of the Remarketing Department as required.
- Complete other duties and special projects as assigned.

Salary and Benefits:

· Full-time: Monday – Friday (40 hours/week)

· Hourly: $18 - $22 per hour with opportunity for wage growth after probationary period and annual reviews

· Overtime: Potential overtime if warranted as business demands
