Position Overview

We are seeking a highly organized, detail-oriented, and service-focused Administrative & Academic Support Coordinator to support day-to-day campus operations, academic administration, instructor onboarding, scheduling, and student services. The successful candidate will serve as an important point of contact for staff, students, instructors, and the public while working closely with Head Office and the Nelson administrative staff.

Key Responsibilities

Administrative Support

- Serve as a primary resource and point of contact for staff, students, and the public, responding to questions and providing assistance as required.
- Manage incoming and outgoing mail, faxes, emails, and other communications, including receipt, distribution, organization, and follow-up.
- Perform a variety of clerical and administrative duties, including filing, collating, recording, sorting, duplicating, laminating, and document organization.




- Conduct regular inspections of treatment rooms and promptly report maintenance or repair requirements to the Administrator.
- Support interdepartmental communication and coordinate schedules to facilitate smooth organizational operations.
- Assist with the planning and execution of campus events, student activities, and other initiatives as requested by the administrative team.

Academic Scheduling & Administration

- Develop, coordinate, and maintain schedules for classes, clinics, events, and student activities.
- Identify and resolve scheduling conflicts and communicate schedule changes promptly to relevant staff and instructors.
- Collaborate with the Administrator to monitor and address compliance-related concerns.
- Provide administrative support to the Registrar and Front Desk administrators as required.

Instructor Support & Learning Management

- Manage front desk operations and patient bookings while providing day-to-day administrative support to instructors and the clinic, including maintaining patient records, handling correspondence and forms, and coordinating appointments, confirmations, cancellations, and rescheduling.
- Assist with onboarding new instructors, including orientation and training on the Classtrack Learning Management System (LMS).




- Provide ongoing technical assistance and troubleshooting support to instructors using Classtrack.
- Assist with managing course batches, schedules, and student enrollments within Classtrack.
- Maintain accurate and up-to-date records for courses, instructors, and students.
- Edit, organize, and maintain institutional documents, curriculum materials, and academic resources, ensuring accuracy, accessibility, and compliance with institutional standards.

Qualifications & Skills

- Previous experience in an administrative, academic, education, or office-support environment.
- Strong organizational and time-management skills with excellent attention to detail.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities and meet deadlines in a rapid-paced environment.
- Strong interpersonal and customer-service skills.
- Ability to work independently while collaborating effectively with a diverse administrative and academic team.
- Proficiency with Microsoft Office or comparable productivity software.
- Strong computer skills and the ability to learn and support learning management or administrative systems.
- Experience with scheduling, document management, HR administration, or post-secondary education is considered an asset.
- Demonstrated ability to handle confidential information professionally and appropriately.

Pay: $19.00-$20.00 per hour
