About Black Fox & the role
Black Fox Farm & Distillery is looking for an experienced, capable and practical Senior Bookkeeper & Business Administrator to join our team. This is a hands-on role with primary responsibility for the day-to-day bookkeeping and financial administration of the business. You will be the principal person responsible for maintaining our books and will work closely with the owners, our events and sales teams, employees, customers and external accountants.
Black Fox is a family-owned farm and craft distillery located just outside Saskatoon. We grow many of the ingredients used in our spirits, distil and mature our products on the farm, welcome thousands of visitors each year and sell our whisky and gin in Canada and international markets. We are a small, entrepreneurial company doing some pretty interesting things, and the person in this role will have the opportunity to understand the whole business rather than work within one narrow department.
We are looking for someone who is confident in their bookkeeping skills, comfortable working independently and interested in becoming an important part of a small business. For an experienced and well-organised person, we expect the core bookkeeping responsibilities to take approximately 30 hours per week. The balance of the role will provide variety and opportunities to contribute in administration, grants, HR, logistics and executive support.
Your primary responsibilities
· Maintain the general ledger and day-to-day accounting records in QuickBooks Desktop.
· Manage full-cycle accounts payable and accounts receivable, including customer invoicing, collections and vendor payments.
· Work with our Events Coordinator and wholesale sales team to ensure customer invoices are accurate, timely and properly recorded.
· Complete bank, credit card and other account reconciliations and investigate discrepancies.
· Administer payroll and related government remittances and maintain accurate employee payroll records.
· Prepare GST/PST and other required remittances and supporting records.
· Prepare regular financial and management reports and maintain useful supporting schedules.
· Keep receivables, payables and cash requirements visible and current for management.
· Organise year-end working papers and supporting documentation and work directly with our external accountants.
· Identify and resolve routine bookkeeping issues independently and recommend practical improvements to systems and procedures.
Business and administrative support
· Assist with grant applications, claims, reporting and supporting documentation.
· Coordinate occasional freight, courier and product shipments when required.
· Support employee onboarding, personnel records and basic HR administration.
· Administer the company group benefits program and related employee changes.
· Assist with regulatory, government and business documentation as required.
· Provide general office and business administration support.
· As capacity permits, provide executive and administrative support to the CEO. The exact mix will vary from week to week; bookkeeping remains the core responsibility, but we are looking for someone who enjoys variety and is comfortable helping where their skills can make a difference.
What we are looking for
· Strong practical experience with QuickBooks Desktop. This is an essential requirement.
· Strong Microsoft Excel skills and comfort working with spreadsheets, reconciliations and reports.
· A solid practical understanding of full-cycle bookkeeping, including AP, AR, payroll, reconciliations, tax remittances and year-end preparation.
· The ability to independently investigate and resolve normal bookkeeping discrepancies without relying on day-to-day technical supervision.
· Strong organisation, accuracy and follow-through.
· Qualified written and verbal communication and good judgement when handling confidential financial and employee information.
· A practical, adaptable approach and comfort working in a small business where priorities occasionally change.
Bookkeeping,
accounting or business administration education is an asset, but demonstrated ability and practical experience are more important to us than credentials alone.

Schedule, compensation and benefits
· $60,000-$80,000 annual salary, depending on demonstrated experience, technical ability and the scope of responsibility the successful candidate can independently assume.
· Four-day work week: Tuesday through Friday, 10 hours per day, for a total of 40 hours per week.
· Three weeks of annual vacation.
· Employee group benefits following successful completion of the probationary period, subject to plan terms.
· Annual review of responsibilities and compensation; reviews do not guarantee an annual increase.
· This is a fully on-site position at 245 Valley Road, Saskatoon. It is not a remote or hybrid role.
