Reporting to the Manager, Clinical Support Services and Hub Operations, the Hub Office Assistant supports the program delivery and administration support to the local Hubs, staff, volunteers, and clients for all programs.
Responsibilities include but not limited to:
Front Office Assistance
- Receives incoming personnel and items while applying appropriate screening protocols and informing parties of their arrival;
- Answers phone inquiries, transferring calls, takes messages;
- Processes incoming and outgoing mail;
- Maintains entry appearance of the Hub (brochures, cleanliness, sanitation practices, etc.,);
Administration
- Assists with setting weekly agendas for meetings and taking minutes;
- Provides administrative support to the Supervisor in special projects;
- Completes weekly deposits,
enters invoices for service-related finances and donation using CCD Financial systems;
- Compiles and provides Welcome Packages and ID badges for new volunteers;
- Submits volunteer reimbursement forms to Accounts Payable;
- Maintains volunteer discharge tracking for local hub(s) and submits to Volunteer Resource team monthly;
Hub Assistance
- Maintains the office Health and Safety bulletin board;
- Maintains Hub kitchen sanitation;
- Works with Procurement to maintain office supplies and coordinate maintenance of office equipment;
- Monitors bookable spaces in the Hub;
- Cross trains with other positions in the Hub for continuation of service delivery;
- Provides support to all Community Supports personnel in the Hub for program support on a need's basis (backfilling when necessary), including delivering Meals on Wheels.
Qualifications required:
- Post-secondary education in Office Administration, Executive Office Administration or equivalent, or a combination of education and experience required
- A minimum of one (1) of relevant experience is an asset
- Proficient using MS Office (Word, Excel, Share Point, Outlook), and Adobe Acrobat skills, with accurate data entry skills
- Experience using a Client Information Management System is an asset
- Strong customer services skills with the ability to work in a fast-paced environment
- Solid written and communication skills with the ability to multi-task
- Detail orientated and highly organized
- Clear Police Check required
- Ontario Driver’s “G” or “G2” license, with access to a safe, reliable and licensed vehicle
- Must work in a safe manner and promote the health and safety of all staff, volunteers, clients and the community as outlined within CCD policies
Compensation: Hourly base rate of $21.00; with an additional 5% in lieu of benefits, and 6% vacation pay
Work Location: Pickering and Whitby, ON
*Subject to change, CCD staff may be required to work anywhere throughout the Durham Region
Hours of Work: 8:30am – 4:30pm, Monday to Friday (35 hours/per week).
This is a temporary full-time role for 12-months.
