ROLE OVERVIEW
Work Arrangement: Hybrid
Location: Lincoln
Schedule: Part-time, Fixed-Term Employee
Pay: $17.60/hour with a maximum of (3) hours a week
Reporting to the Chief Executive Officer (CEO), the Program Coordinator provides event and administrative support across key program areas. This role ensures the successful launch and execution of high-impact programs for residents of Lincoln and surrounding region.
Working closely with internal teams and external partners, the Program Coordinator helps develop, implement, and evaluate initiatives in both virtual and in-person settings. A key part of this role is ensuring seamless event planning, efficient scheduling, and an exceptional participant experience. The Program Coordinator also plays a vital role in expanding The Volunteer Well’s community presence by fostering strong relationships with government agencies, non-profits, and other stakeholders.
The successful candidate requires strong organizational skills, attention to detail, and the ability to manage multiple priorities.
This role requires travel within the city, as well as evening and weekend work for events.
Although this is a remote-first hybrid position, the role includes important in-person responsibilities. The Program Coordinator will represent the organization at community events, stakeholder meetings, workshops, outreach activities, and other organizational engagements and may be required to facilitate or support events in person.
KEY RESPONSIBILITIES
- Event & Program Coordination
- Plan, organize, and support events and programs in collaboration with internal and external stakeholders.
- Coordinate event logistics, including venue booking, catering, AV setup, and scheduling.
- Ensure high-quality program delivery in both in-person and virtual environments.
- Maintain and update program and event calendars.
- Act as the primary point of contact for event-related inquiries.
- Administrative & Scheduling Support
- Schedule and coordinate meetings, events, and day-to-day project activities.
- Track and report key program metrics.
- Verify and update event schedules as needed.
- Oversee the hiring of independent consultants, including fitness instructors, art instructors, digital literacy educators, and language literacy teachers.
- Stakeholder & Partner Engagement
- Facilitate communication and coordination with government agencies, non-profits, and community organizations.
- Support strategic initiatives by managing project tasks and collaborating with stakeholders.
- Address issues within the scope of the role and escalate concerns when necessary.
- Marketing & Communications
- Develop content for marketing materials and promotional campaigns.
- Draft internal and external communications to support program outreach.
Additional Considerations
- Some travel within the city is required for in person events.
- Occasional evening and weekend work may be necessary.
REQUIRED QUALIFICATIONS:
The successful candidate will have:
- Education: Post-secondary education in Program Management, Business, Communications, Social Services, Non-profit Management, or a related field, or an equivalent combination of education and experience.
- Experience: 1-2 years of relevant experience in program or project coordination, community engagement, event coordination, administration, or non-profit operations.
- Soft Skills: Robust organizational, time-management, written and verbal communication, interpersonal, and problem-solving skills.
- Tech-Comfortable: Familiarity with digital tools (e.g., Zoom/Google Meet, Canva, slide design tools, or basic AI applications like ChatGPT) or a quick ability to learn new software.
- Assets: Experience working in community-based, non-profit, or volunteer-focused environments.
ADDITIONAL REQUIREMENT
- Valid Ontario G-Class Driver’s Licence required for travel to meetings, events, and community activities.
