Executive Assistant & People Coordinator (Initial 3-Month Contract with Solid Opportunity for Permanent Employment)

Location: 160 Cidermill Avenue. Unit 14 Concord, ON

Wage: $25-28 per hour depending on experience

Job Type: Full time Contract (Approx. 3 months)

Position Overview

Are you a high-performing admin ready to step up and help keep the show running? We are looking for mid-level Executive Assistant style person for an initial short-term contract with a strong opportunity to become a long-term home for the right person. If you are a sharp, hands-on resourceful coordinator who loves owning everything from payroll support and recruitment tracking to daily office operations, this is your launchpad. We don't need someone who simply waits for a list of tasks; We want someone who asks questions, figures things out, follows up, spots what has been missed and takes pride in getting things across the finish line.
Keep the people, administrative and executive side of LawnSavers organized, moving and followed through so the CEO and managers can focus on growing and running the business.

Key Responsibilities

- Executive Support: Assist the leadership team with special projects, meeting preparation,



and shifting operational priorities throughout the season.
- Payroll Administration: Review timesheets, track attendance/time-off, and resolve missing details to ensure accurate data for processing.
- Recruitment Coordination: Organize applications, schedule interviews, communicate with candidates, and maintain hiring records.
- Onboarding & Offboarding: Prepare new-hire documentation, coordinate training schedules, and manage system access.
- Data & CRM Management: Maintain accurate customer records and confidential HR/employee files using Google Workspace and internal CRM software.
- Office Operations: Create spreadsheets, forms, and internal correspondence while managing general daily office tasks.
- Ownership & Follow-Through: Take responsibility for assigned projects and administrative issues from start to finish - following up, solving problems, keeping others accountable and closing loops without needing repeated reminders.

- Comfortable with Dogs: Bueller, our black lab is our lunch supervisor/quality inspector!
- Are naturally organized and hate leaving loose ends.
- Take responsibility instead of waiting to be reminded.
- Can manage several priorities without becoming overwhelmed.
- Are comfortable asking questions and then figuring things out independently.
- Have excellent attention to detail.




- Communicate warmly and professionally in person, by phone and in writing.
- Are comfortable working directly with a fast-moving entrepreneurial CEO and leadership team.
- Handle confidential employee and business information with excellent judgment.
- Enjoy learning new technology and finding better ways to get work done.
- Like being part of a team but don't require constant supervision.

Qualifications

- Experience: 2–5 years of administrative, executive support, office coordination, HR coordination or similar experience.
- Tech Savvy: Strong proficiency with Google Workspace (Gmail, Sheets, Docs) and a comfort learning new CRM/scheduling software.
- Communication: Exceptional written and verbal skills, including a friendly, professional telephone presence for client interactions.
- Ownership: A high attention to detail, strong organizational skills, and the ability to manage deadlines independently.
- Discretion: Sound judgment when handling sensitive, confidential HR and business data.

Work Schedule & Hours

- Full-Time: Approximately 37.5 to 44 hours per week. (IN-OFFICE)
