What you’ll do
The Business Administration and Procurement Coordinator supports the Business Administration and Procurement Manager in the delivery of the organization's business administration and procurement functions. The position coordinates day-to-day activities related to purchasing, contract and vendor administration, office space and furniture coordination, travel administration, lease management, inventory and asset management, and related business administration programs.
Responsibilities include:
- Coordinate office moves, workstation assignments and furniture installations.
- Maintain floor plans, seating plans and phone lists.
- Assist with office space planning initiatives and workplace improvement activities.
- Coordinate furniture and equipment purchases, installations, maintenance and warranty tracking.
- Maintain fixed asset inventories and related records.
- Coordinate ergonomic assessments and associated equipment requests in partnership with Human Resources.
- Coordinate signage requests and maintain signage inventories and records (e.g., employee name plates).
- Assist with maintaining the artwork inventory and records.
- Support the administration of the travel booking system and travel reimbursement program.
- Maintain tenant and vehicle lease documentation and related records.
- Assist with insurance documentation, renewals and records management.
- Coordinate and maintain records for the STF Business Resiliency Program.
- Maintain accurate records, databases, inventories and tracking systems for procurement and business administration programs.
- Procurement administration
- - Create and process purchase requisitions and purchase orders in accordance with established procedures.
- Coordinate the procurement of supplies, equipment, furniture and services.
- Process invoices for payment approval, including resolving receiving, payment and order discrepancies.
- Monitor order status and communicate with vendors regarding deliveries, back ordered items, damaged goods, returns, credits and product availability.
- Respond to inquiries regarding orders from vendors and internal stakeholders.
- Contract and vendor administration
- - Coordinate document collection and administrative requirements related to contracts and vendor agreements.
- Assist in preparing procurement, contract administration and business administration documentation, reports and correspondence.
- Support vendor relationship management and onboarding activities and coordinate respond to routine vendor inquiries.
- Coordinate day-to-day activities with workplace service vendors, including coffee service and vending machine vendors.
What you’ll bring
- Completion of one-two years of post-secondary education in Business Administration, Office Administration or a related field combined with three-four years of related experience supporting procurement, business administration, contract administration, inventory management or business operations. An equivalent combination of education and experience may be considered.
- Proven organizational skills.
- Problem-solving skills.
- Demonstrated effective client service and interpersonal skills.
- Demonstrated effective record keeping skills to develop and maintain operational files and fixed asset inventory.
- Demonstrated computer literacy skills, specifically in automated inventory systems.
- Effective communication skills.
- Demonstrated ability to effectively handle work requiring a high level of accuracy and attention to detail.
