About the Role (Afternoon shift 11am/12pm-7pm/8pm)
We are seeking a highly detailed and organized administrator to support the operational and financial workflows of our transportation and warehousing operation. This role serves as the administrative backbone of the facility, ensuring that physical inventory records, billing, and accounting systems are up to date. The ideal candidate has an eagle eye for detail, able to adapt to at times a fast-paced workplace, and possesses exceptional spreadsheet management skills.
Key Responsibilities
- Inventory Control & Auditing: Manage and maintain comprehensive Excel-based inventory tracking systems. Conduct regular physical and system-based audits to identify and resolve discrepancies.
- Order Picking Verification: Conduct final quality control checks on outbound orders before they leave the facility, ensuring picked items and quantities exactly match order entry records to prevent shipping errors.
- Financial Administration (AR/AP & Billing): Process accounts payable and accounts receivable. Manage accurate order entry, generate freight billing, and resolve invoicing variances with vendors and clients. Involvement to be determined and training will be provided.
- Shipping & Receiving Oversight: Monitor dock activity to ensure physical freight matches documentation. Verify incoming stock against packing slips, bills of lading, and purchase orders.
- Order Entry & Documentation: Input high-volume,
highly accurate order entry for transport and warehouse services. Maintain organized digital and physical filing systems for all operational documentation.
- Process Support: Act as the liaison between the warehouse floor, dispatch, and the finance team to ensure all administrative workflows are seamless and up to date.
Qualifications & Technical Skills
- Administrative Experience: Proven administrative experience in a transportation, warehousing, supply chain, or manufacturing environment.
- Microsoft Office Mastery: Highly proficient in the Microsoft Office suite with a specific, advanced focus on Excel. Must be comfortable managing large, Excel-based inventory control sheets.
- Accounting Familiarity: Hands-on experience with basic accounting functions, specifically Accounts Receivable (AR), Accounts Payable (AP), and billing cycles.
- Attention to Detail: Exceptional organizational skills and a meticulous approach to data entry, auditing, and final shipment verification. A strong ability to spot errors before they impact the bottom line.
- Communication: Clear, professional written and verbal communication skills to effectively coordinate with internal teams, drivers, and external partners.
Job Type: Full-time
Pay: $45,000.00-$47,000.00 per year
