The Position
The Global Sales Operations Specialist supports the ongoing growth of the organisation through accurate, timely and compliant execution of business-as-usual activities across the customer- order lifecycle. The role performs quote approvals, closure review, licensing enablement, quality review, invoicing support and related queue activities, while communicating effectively with customer-facing and revenue teams.
The Specialist contributes to transactional advisory by applying documented requirements and escalating complex or non-standard matters, and contributes to projects through testing, process feedback, documentation and adoption support. The ability to follow due process, manage priorities and adapt to changing operational demand is key.
In this role, you will have the opportunity to:
- Process and complete assigned sales orders and tasks through the relevant lifecycle stages, including quote approvals, pre-close and closure review, license enablement, invoicing support and quality review
- Complete daily queue work accurately and promptly, following documented priorities, controls, service expectations and global GSO procedures.
- Coordinate and communicate with customer-facing and revenue teams so transaction requirements, status, required actions and expected timelines are clear.
- Identify blocked, errored, incomplete or non-standard transactions and resolve them within documented guidance or escalate them promptly to a Senior Specialist or Team Lead.
- Provide accurate information for compliance reporting across sales, licensing and invoicing activities and follow SOX, audit and general business-process control requirements.
- Provide timely updates on customer invoices, queue status and risks, and support period-end priorities as directed.
- Support FinOps, Collections, Information Systems and related teams with operational information and follow-up where required
- Apply documented transaction requirements and approved guidance when responding to routine questions from revenue and customer-facing teams.
- Explain required actions clearly and professionally, helping stakeholders understand GSO processes and the information needed for successful processing.
- Recognise complex, high-risk or non-standard scenarios and escalate them with complete context to a Senior Specialist or Team Lead.
- Build commercial and operational understanding through coaching, feedback and exposure to increasingly complex work
- Participate in process and system improvement activities by providing practical feedback from daily operations.
- Support user testing, issue identification, data validation, process documentation and training activities as assigned.
- Adopt new processes, systems and controls and help identify where documentation or guidance requires clarification
- Look for opportunities to improve the accuracy, efficiency and consistency of BAU work, including appropriate use of automation and AI-enabled tools
To be successful in this role, you should have:
- At least 2 years of experience relevant to order management or transaction processing
- Sound administration experience and knowledge
- Experience with sales or CRM, software licensing and/or financial systems is advantageous
- Diligence in following due processes, documented controls and procedures
- High attention to detail, with an analytical and methodical approach to work
- Good written and verbal communication skills and confidence engaging with colleague across the organisation
- Ability to work independently, collaborate as part of a global team, multitask and prioritise effectively
- Quick response capability and the ability to operate in a fast-paced and changing environment
- Customer-focused, friendly and engaging, with curiosity and a continuous-improvement mindset
- A degree, diploma or certificate in Business Administration or a related discipline is advantageous but no essential
Additional Information
This role is based in our Vancouver, BC office.
Given the global dispersion of the Global Sales Operations team,
there may be a requirement to facilitate or attend calls and meetings across different time zones. Depending on the role and business need, occasional travel may also be required
