Position Overview:
To promote the Lodge as a premier meeting and event destination and to ensure the highest level of guest satisfaction across all conferences, weddings and group tours. To act as the central point of contact for all group events and weddings, providing strategic operational oversight. To lead the flawless delivery of hotel events and functions while developing and maintaining strong client relationships and managing departmental performance.
Duties & Responsibilities:
· Consult with clients to define event requirements, timelines, and budgets.
· Develop creative menus, décor concepts, activities, and tailored packages to exceed client expectations.
· Design and distribute detailed Banquet Event Orders (BEOs) outlining all event specifications,
and maintain a weekly schedule of upcoming functions for all departments.
· Manage all aspects of venue, F&B;, rentals, and staffing coordination before, during, and after events.
· Resolve on-site issues and last-minute changes promptly and professionally.
· Ensure all events meet CRMR's quality standards and client expectations.
· Respond to sales inquiries, conduct site inspections, and actively promote the Lodge as a meeting and event destination.
· Work closely with the Calgary Sales Office on all contracted group bookings and proposals.
· Identify opportunities to upsell services, packages, and amenities to maximize revenue per event.
· Build and maintain strong long-term relationships with repeat clients, wedding planners, and corporate event organizers.
· Prepare post-event billing, reconcile event costs, and share client feedback reports with the General Manager.
· Maintain organized, up-to-date records for all clients, contracts, and functions.
· Monitor departmental performance and contribute to budget planning and cost management for the Meeting & Events department.
· Assist with set-ups and teardowns of weddings and conferences when needed.
· Directly supervise, mentor, and develop the Meeting & Event Coordinator, providing clear direction, regular feedback, and performance support.
· Delegate tasks appropriately and ensure the Meeting & Event Coordinator is supported in day-to-day operational and administrative functions.
· Foster a collaborative, service-focused team culture aligned with CRMR's standards and values.
· Participate in the onboarding and training of the Meeting & Event Coordinator
· Perform any other duties as assigned by the General Manager
Skills & Experience:
· Minimum 3 years of experience in event planning, hotel operations, or hospitality management
· Exceptional customer service orientation with a client-first mindset
· Robust leadership, project coordination, and organizational skills
· Excellent communication and interpersonal skills for managing both client and team relationships
· Budget management knowledge
· Diploma or degree in Hotel Management, Event Management, or a related field (asset)
· Must have a flexible schedule to work evenings when needed.
· Physical demands include sitting, standing, bending, and lifting (up to 30 lbs.).
