The Opportunity
We are seeking a highly capable and discreet Executive Assistant to provide direct support to executives and the family office. This is a trusted role with responsibility for managing complex business and personal matters, coordinating competing priorities and ensuring that commitments, information and follow-up items are handled carefully and efficiently.
The successful candidate will be exceptionally organized, resourceful and comfortable operating with a high degree of independence. They will anticipate needs, exercise sound judgment and move confidently between detailed administrative work, sensitive requests and special projects. The role requires someone who can protect confidentiality, build trusted relationships and remain calm and responsive as priorities evolve.

Your Day to Day
- Provide direct, high-level administrative and logistical support to executives and the family office
- Manage complex calendars, appointments, meetings and competing business and personal priorities
- Serve as a trusted point of contact and exercise judgment when managing requests, information and access to the executives
- Coordinate detailed domestic and international travel, including transportation, accommodations, schedules, itineraries and contingency planning
- Plan and execute executive meetings, family-office activities, company events and other private or external engagements
- Prepare agendas, briefing materials and meeting packages; attend meetings when requested, take minutes and coordinate follow-up actions
- Draft, edit and proofread confidential correspondence, reports,
presentations and other documents
- Track priorities, commitments and deadlines and proactively follow up with internal and external parties
- Conduct research, assess options and make practical recommendations for purchases, travel, vendors and special requests
- Coordinate with professional advisors, financial institutions, vendors, household contacts and other external parties as required
- Assist with invoices, cheque preparation, expenses, records and other administrative aspects of business and family-office matters
- Maintain organized and secure electronic and paper records for sensitive business and personal information
- Lead or coordinate special projects from initial request through completion, identifying issues and keeping stakeholders informed
- Provide support for occasional personal matters and off-site errands with professionalism and discretion
- Collaborate with other Executive Assistants and provide backup support when needed
- Perform other related duties as assigned
You Are a Good Fit If You Have
Required:
- Minimum 3 years' experience in an executive assistant, senior administrative or comparable high-trust support role
- A valid Ontario Class G driver’s licence and mode of transportation
- Successfully pass and maintain a criminal background check and provide a satisfactory driver’s abstract
Considered an Asset
- A post-secondary degree or diploma in business administration or a related field
- Experience in a private company, investment office, professional-services setting or family office
- Experience coordinating with legal, accounting, banking, investment or other professional advisors
Skills and Abilities
- Exceptional discretion, integrity and judgment when handling highly confidential business and personal information
- Ability to anticipate needs, identify risks and act independently while knowing when to seek direction
- Excellent written and verbal communication skills and the ability to represent executives professionally
- Solid organization,
attention to detail and follow-through across multiple concurrent priorities
- Resourceful and solutions-oriented, with the ability to research options and make sound recommendations
- Composure and adaptability in a fast-paced environment where priorities may change with little notice
- Ability to build productive relationships with executives, colleagues, advisors, vendors and personal contacts
- Advanced proficiency with Microsoft Outlook, Word, Excel, PowerPoint and other standard office programs
- Ability to use AI tools efficiently and responsibly, with strong awareness of confidentiality, privacy and data-security risks
- Flexibility to support occasional time-sensitive matters, events or travel outside regular business hours when required
- Ability to occasionally lift and carry files, documents or small office items weighing up to 10 pounds

The posted pay range reflects base compensation only. Starting pay will be based on the successful candidate’s skills, experience and qualifications. Advantages and other incentives are offered separately.
