Job Summary
Hybrid Infusions is looking for an organized and motivated Business Operations Assistant to provide administrative support to our General Manager and departments across the company.
This is a great opportunity for a recent graduate who wants to build practical experience in business administration and operations. You’ll work with spreadsheets, reports, purchasing information, records, and day-to-day administrative tasks while gaining exposure to several areas of the business.
You do not need years of experience to be successful in this position. We are looking for someone who is comfortable with Excel, pays close attention to detail, follows through on commitments, and is willing to learn.
What You'll Be Doing
- Provide day-to-day administrative and organizational support to the General Manager.
- Help track reminders, deadlines, requests, and follow-up items.
- Monitor designated inboxes, organize incoming requests, and draft routine responses.
- Coordinate information between management, employees, departments, vendors, and external contacts.
- Assist with meeting coordination, prepare materials, take notes, and track action items.
- Maintain and update spreadsheets used for purchasing, inventory, production, costing, reporting, and other operational tracking.
- Review information for errors, inconsistencies, or missing details and follow up on routine discrepancies.
- Prepare recurring reports, summaries, and materials for management.
- Provide administrative support for purchase orders, supply orders, invoices, vendors, and order tracking.
- Support departments with scanning, filing, copying, data entry, document formatting, and preparing materials.
- Maintain organized electronic files, shared folders, SOPs, policies, forms, templates, training materials, and confidential records.
- Help identify practical ways to improve recurring administrative tasks, spreadsheets, tracking tools, and filing systems.
- Support operational projects and other administrative priorities as assigned.
What We're Looking For
- A diploma or degree in business administration, management, accounting, supply chain, operations, or a related field.
- Practical knowledge of Microsoft Excel, including formulas, tables, sorting and filtering, conditional formatting, and data validation.
- Comfortable using Microsoft Outlook and Word.
- Strong written and verbal communication skills.
- Good organization and attention to detail.
- The ability to manage multiple tasks and follow work through to completion.
- The ability to recognize missing or inconsistent information and ask appropriate questions.
- Professional judgment when handling confidential or sensitive information.
- The ability to work independently while keeping your manager informed.
- A positive attitude and willingness to learn.

Requirements
- Local to the Edmonton area or able to reasonably commute
- Ability to work at a computer for extended periods and perform repetitive keyboard and mouse tasks.
- Ability to sit, stand, and move throughout the facility as needed.
- Ability to bend, reach, and occasionally lift or carry office supplies, files, or materials weighing up to 25 lbs.
- Ability to read and review information on screens, spreadsheets, labels, and printed documents.
- Ability to communicate effectively in person, by phone, and through electronic communication.
- Ability to work in an active production facility where noise levels, temperatures, and activity may vary between work areas.
- Ability to wear required personal protective equipment when entering designated production areas.
Pay: $18.00-$20.00 per hour Expected hours: 40.0 per week
