Position Summary:
The Church Administrator oversees the day-to-day operations of The First Unitarian Church of Hamilton, and coordinates the maintenance, use and rental of Church facilities. This role is responsible for maintaining a clean and welcoming environment for members and visitors; coordinating the Church calendars; and assisting the Bookkeeper with finance, payroll and benefits administration. Working collaboratively with the staff team and volunteers, the Administrator supports the production and distribution of communications.
Organizational Structure & Shared Leadership:
The Church Administrator reports directly to the Minister, who provides guidance, direction and supervision, and is responsible for performance plans, performance evaluations, and professional development. The Administrator works collaboratively with other staff members, and volunteers alike. In partnership with the Program and Volunteer Manager and the Digital Systems Specialist, the staff create a “Scaffold of Support” to ensure operational stability, building and resource access,

Inspire action that Heals the World The Church Administrator is responsible for supporting the infrastructure that allows for organized and efficient operations of our community.
Key Responsibilities:
Office & Records Administration
- General Administration: Manage mail routing, answer general inquiries via phone and email, coordinate and support budget meetings, Annual Report generation, calls to meetings,
and the Annual General Meeting.
- Vendor & Supply Management: Oversee the procurement of office and cleaning supplies, liaise with external vendors (cleaners, pest control, snow removal, etc.)
- Support Insurance Renewals, including maintaining and coordinating church inventory; ensuring the church is in compliance for all safety regulations and insurance requirements.
- Calendar Management: Maintain the church’s internal events calendar, for both physical and online spaces, in addition to the renters use of the building.
Rentals Coordination & Facilities Procedures
- Inquiry & Tour Management: Act as the primary contact for rental inquiries; conduct tours of the facility for potential Single Use (SUC) and Long Term (LTC) renters.
- Contract Development: Draft rental contracts using established templates; ensuring all necessary paperwork and insurance is in place, following the contract to its completion with deposit returns.
- Technical Liaison: Per church policy, connect renters to the AV/Tech Lead to confirm technician availability and incorporate tech quotes into the final rental contract.
- Logistics & Access: Coordinate church opening/closing services; facilitate the distribution and tracking of key fobs for trained Long Term Renters.
Finance, Payroll and Benefits Administration
- Preparing and managing rental agreements
- Supporting staff & volunteers with expense submissions.
- Administrative support for the production of the Church’s annual report and annual financial statements, statutory reporting and physical file changeover at year-end.
- Administer payroll, group benefits, tax receipts, and basic bookkeeping in partnership with Bookkeeper.
Skills & Qualifications
- A passion for customer service and office administration
- Proficiency in Google Workspace, Microsoft Office, Dropbox, Adobe, Canva and other related software
- Basic to intermediate bookkeeping knowledge, comfortable working with budgets and financial reports.
- Multi-tasking and time management abilities, as well as the capacity to prioritize tasks. Ability to adjust or change priorities as needed.
- Excellent interpersonal skills, including written and verbal communication
- Collaboration - experience with cross-function teams and communication across skill levels.
Time Commitment This position is 25 hours / week and has flexibility in scheduling work hours to accommodate meetings that occur outside open office hours. The church has open office hours Tuesday, Wednesday and Thursday 10:00am - 3:00pm and Sundays 9:30am - 12:30pm. Salary Range $25-$30 per hour, commensurate with experience, advantages include vacation pay, retirement contributions, and group health insurance.
Pay: $25.00-$30.00 per hour
