We are a warm, family-centered speech-language pathology clinic dedicated to supporting clients of all ages. We are looking for a friendly, outgoing, organized, and tech-savvy Clinic Administrator to join our team.

Position Details

October–December: Casual hours, likely 1-2 shifts per week

Starting January: Full-time maternity leave coverage

This is a varied and engaging role that combines client interaction, administrative responsibilities, technology, organization, and some creative tasks. You will be an important part of creating a welcoming experience for our clients, families, and team.

About the Role The Clinic Administrator plays an essential role in keeping our clinic running smoothly. You will work closely with our speech-language pathologists and support staff while communicating with clients, families, fee payers, and other professionals.

The ideal candidate is someone who is warm and personable, highly organized, confident communicating in English, comfortable with technology, and able to manage multiple priorities independently.

Key Responsibilities

- Greeting clients and providing friendly reception support
- Communicating with clients and families by telephone and email
- Managing incoming and outgoing emails
- Coordinating appointments and communicating with clients regarding scheduling and required documentation
- Assisting with client intake and file preparation
- Preparing and editing reports, letters, and other documents
- Assisting with invoices, payments, and client billing
- Communicating with fee payers, team members, volunteers, and other professionals
- Coordinating therapy materials and office-space bookings
- Managing office supplies and inventory
- Coordinating recurring office expenses, subscriptions, and registrations
- Assisting with onboarding new employees, subcontractors, and volunteers




- Supporting social media and marketing activities, including preparing digital materials
- Providing basic technical troubleshooting and support
- Assisting with professional and social events as needed
- Helping with general office organization, light cleaning, and day-to-day clinic maintenance

Qualifications & Skills
- Native or near-native English proficiency, with excellent spoken and written English
- Friendly, outgoing, warm, and professional personality
- Strong communication and interpersonal skills
- Excellent organizational and multitasking abilities
- Previous administrative or medical office experience required
- Comfortable working with young children and families
- Confident using computers, digital tools, email, and social media
- Comfortable learning and using new technology
- Ability to work independently while also being a collaborative team member
- Strong attention to detail and ability to follow through on tasks

Assets
- Experience with Jane practice management software
- Familiarity with Canva
- Interest in or experience using AI and emerging technologies
- Ability to speak Cantonese and/or Mandarin
