About the Role
Epic’s National Services team is a centralized national team providing a range of services to support all lines of business through property-specific projects, ongoing programs, and coordination of numerous initiatives.
The team has expertise in sustainability, health and safety, environmental, building technology, procurement, core building operations, property administration, and more. Key functions of the National Services team include:
- Standard forms of contract for services and construction, as well as advice on any vendor-proposed changes to standard agreements. Oversight of procurement and audits for elevators, janitorial, and security services, as well as management of national contracts for elevator consulting and support.
- Vendor management, including Certificate of Insurance (COI) and Workers’ Compensation Board (WCB) administration through SafeContractor.
- Oversight and coordination of environmental, health and safety audits, and a standardized asbestos management program.
- Development of standards and training related to property administration, management processes, building operations, emergency management and other risks.
- Management of the Visitt platform for work orders, preventative maintenance, and tenant COIs.
The Coordinator will support the National Services team through engagement with property management teams across Canada to ensure our property teams are using our platforms effectively to make their day-to-day easier.
Coordination and Management:
- Coordinate data gathering and documentation needs from across the portfolio to support projects such as national request for proposal processes, ongoing national contracts, contractor compliance requirements, surveys, property information, emergency management and business continuity requirements.
- Develop and maintain updates to internal property management policies, procedures, and templates.
- Support the administration of certain data systems and web platforms used by property management and national services, including Visitt, SafeContractor, SharePoint, and others.
- Manage and troubleshoot with the REM team on implementation issues and regional/local modifications and needs.
Stakeholder Engagement, Reporting and Communications:
- Interact with the leadership team and clients to provide insight, clarity, and the commercial value of national service standards in an unbiased and objective fashion.
- Engage with the REM team to build strong relationships, understand needs and translate those needs into key national service standards.
- Partner with the Manager, National Services and the department VP to develop reporting processes and templates from the data systems and web platforms the team uses. Ensure that reports are periodically distributed to property management leaders.
- Support quarterly and annual performance and progress meetings with key stakeholders regarding program implementation and service delivery.
Research:
- Provide market research, benchmarking, briefs, best practices, and insights into industry standards for commercial real estate property management.
Requirements:
- An undergraduate degree, ideally in real estate or business
- Experience or familiarity with Property Management experience or a manager of a centrally organized operating platform which supports regional/local teams within a franchise environment.
- Affinity for data and data management, and finding ways to manage and transition unstructured data or qualitative information into a more data drive approach.
- Well organized and proactive communicator.
- Familiarity with concepts of governance/assurance processes with the ability to evaluate, analyze, and audit performance.
- Skill set in collaborative employee engagement, professional development, and reporting.
- Experience that demonstrates strong technical competence in Microsoft Office applications, including Word, Excel and PowerPoint, databases, and automation.
- Experience we hope to help you build: Strong operational knowledge of commercial real estate, including but not limited to procurement, elevators/escalators, emergency management, REM operating best practices, smart buildings, customer maintenance management system, security, health and safety, customer service excellence and experience.
Expected Compensation Range: The expected annual base salary range for this position is $55,000 – $65,000 CAD. The actual salary offered will depend on a variety of factors, including the candidate’s experience, education, skills, and market conditions, while ensuring internal equity. In addition to base salary, Epic offers a competitive total rewards package that may include discretionary performance-based incentives, comprehensive extended group benefits, retirement savings programs, and paid time off.
