Fleet Services Coordinator - Surrey

Annual salary: $ 63,200.00 - 68,600.00
What you'll do
- Schedules vehicles for repair, maintenance and other work at the Fleet Garages and at vendor shops according to set
priorities and the availability of repair personnel. Consults with management, foreman, sub-foremen and mechanics and refers to Fleet Garage Management System for vehicle-related information. Expedites work of vendors by following up with vendors on completion dates and times. Liaises with Fleet Management Company on parts, vendor and vehicle maintenance enquiries.
- Coordinates fleet vehicle maintenance with customer’s schedule and arranges for assignment of pool vehicles as
necessary. Follows-up with management, foreman, and sub-foreman to ensure fleet warranty and recall work is tracked and completed accordingly.
- Assists operators of vehicles broken down in the field by arranging for roadside assistance, such as repairs and tows; may
call taxi to pick-up stranded operator. Arranges transfers and repairs of vehicles damaged in accidents. Obtains quotes for repairs, expedites repairs and interacts with ICBC and customer.
- Maintains fleet vehicle/equipment information and related records. Enters and edits vehicle information (such as transfers,
service dates, status changes), new work orders,
sublet work order services not processed on Fleet Management Company maintenance card, work requests and uploads vehicle and work order documents in the Fleet Garage Management System. Reviews data for consistency, completeness and correctness. Identifies, investigates and resolves discrepancies.
Prepares and distributes standard and ad hoc reports from the Fleet Garage Management System monthly including the
Vehicle Inspection Forecast.
- Prepares, tracks and reconciles various financial and administrative documents (such as contract and material
requisitions, purchase orders, expense claims, parts cards purchase, etc.). Reviews data for correctness and completeness. Processes a variety of Fleet Services accounts payable documents by: matching delivery/packing slips with invoices; checking approval levels, account distribution and invoice details; routing for approval; collecting and entering monthly odometer readings for fleet vehicles; and responding to and resolving vendor enquiries.
- Oversees the local pool or loaner vehicles by performing such duties as: tracking vehicle bookings; entering odometer
entries; scheduling repairs (including recalls and warranty) and maintenance; coordinating short term and long term loans for customers.
- Coordinates the transfer and delivery of new vehicles between vendors, Fleet Garage and customer location. Ensures
extra outfitting (such as radios, Wi-Fi), fuel and maintenance credit cards, vehicle keys, plates and registration documents are in the vehicle prior to transfer and delivery. Coordinates the transfer, assignment and re-assignment of vehicles throughout the province by arranging for transport by barge, truck, hostler, user pick-up etc.
- Ensures vehicles are ready for disposal by: preparing required paperwork; scheduling preparatory work with customers,
Fleet Garages, vendors, Finance, disposal coordinator, disposal company and hostlers; arranging for equipment and plate removal and cleaning; and coordinating customer return of old vehicles.
- Assists with issuing decals for annual vehicle insurance renewal and new vehicle insurance. Responds to enquiries from
insurance brokers, ICBC, Motor Vehicle Office and customers. Coordinates commercial vehicle inspections, Powertech program inspections and associated repairs with customers, Fleet Garages, vendors, hostlers and respective inspection groups.
- Performs some or all the duties of the Vehicle Services Clerk 2 job.
- Performs duties of a minor nature related to the above duties that do not affect the rating of the job.
What you bring
- High school graduation; plus six (6) months of experience in a lower-level Vehicle Services Clerk job or two (2) years of
demonstrated experience in an administrative/clerical or customer service role; plus demonstrated experience using Microsoft Word and Excel at the intermediate level. Office Administration Certificate or Diploma or a related field considered an asset.
- Experience using Fleet Garage Management Systems (FleetSmart or equivalent), validating and completing exception for
IBEW and working in Fleet Services considered assets.
- Requires in-house training in Procurement and Fleet Garage Management Systems; or must complete in-house training
within one (1) month of starting the job. What we offer
