POSITION OVERVIEW
Blachford Lake Lodge is seeking a Flight Coordinator / Expeditor to manage the logistics that keep a remote, fly-in wilderness lodge running smoothly. This role owns the flow of people and cargo to and from the lodge — booking and coordinating charter and scheduled flights, planning guest arrival and departure logistics, and organizing the shipping of supplies, equipment, and materials in and out of a location with no road access. It is a coordination-heavy, detail-driven role suited to someone who is calm under changing weather and schedules, communicates clearly with guests and pilots alike, and takes genuine satisfaction in a well-run logistics chain.
KEY RESPONSIBILITIES
- Book and coordinate charter and scheduled flights for guests, staff, and supplies between Yellowknife and Blachford Lake Lodge
- Build and maintain guest arrival and departure schedules, adjusting quickly for weather delays, changing group sizes, and last-minute itinerary changes
- Act as the lodge's point of contact with air carriers, confirming manifests, weight limits, and cargo requirements for each flight
- Communicate clearly and proactively with guests before arrival — flight times, baggage limits, what to expect from a fly-in transfer
- Coordinate the shipping of food, fuel, equipment, and other materials to and from the lodge, tracking orders and flagging delays before they become operational problems
- Maintain accurate logs of flights, manifests, and freight for operational and safety records
- Work closely with the Lodge Manager and department leads to align flight schedules with guest programming and staffing needs
- Troubleshoot logistics issues in real time — weather holds, mechanical delays, missed connections — and keep affected guests and staff informed
QUALIFICATIONS
- Prior experience in logistics coordination, dispatch, travel/flight booking, or a similarly detail-intensive scheduling role
- Comfortable working with air carriers, manifests, and cargo/weight restrictions; aviation or remote-operations experience is an asset
- Excellent organizational skills and composure when schedules change on short notice
- Strong written and verbal communication skills for guest-facing coordination
- Proficiency with standard scheduling, spreadsheet, and communication tools
- Willingness to live and work on-site at a remote, off-grid lodge for the season
- Hospitality or guest-service experience is an asset given the guest-facing nature of the role
