Position Overview:
The HR Coordinator is a part-time position that provides administrative and coordination support to the Finance & HR department. The role monitors incoming time-off requests and routes them to the appropriate approvers, sends approval notifications, assists with new-hire documentation, coordinates onboarding activities with Operations and Safety, and prepares and updates workplace policy documentation and forms.
This position requires a detail-oriented, professional, and approachable individual who can manage confidential information, communicate clearly with employees and leaders, maintain accurate documentation, and coordinate effectively across departments.
Responsibilities
- Provide part-time administrative support to the Finance & HR department.
- Monitor incoming employee time-off requests and confirm that required information has been provided.
- Route time-off requests to the appropriate supervisor or manager for review and approval.
- Track request status and send timely approval or status notifications to employees and relevant leaders.
- Maintain accurate records of time-off requests, approvals, and related correspondence.
- Assist in preparing new-hire documentation, employment forms, orientation materials, and employee files.
- Coordinate onboarding activities with Operations and Safety to support a complete and organized employee orientation.
- Follow up on outstanding onboarding documents, required acknowledgements, and orientation requirements.
- Prepare, format, update, and maintain HR policies, procedures, forms, and related documentation.
- Support document version control and distribution of approved policy updates.
- Respond to routine employee questions professionally and escalate sensitive or complex matters as appropriate.
- Maintain confidentiality and handle employee information with discretion.
- Perform other HR administrative duties as assigned by the Director of Finance & HR.
Qualifications & Competencies
Education
- Post-secondary education in Human Resources, Business Administration, Office Administration, or a related field is preferred.
- A combination of relevant education, training, and experience may be considered.
Experience
- One to three years of experience in an administrative, human resources, or coordination role is preferred.
- Experience preparing employee documentation, supporting onboarding, or maintaining HR records is considered an asset.
- Experience handling confidential employee information is preferred.
- Experience preparing or updating policies, procedures, forms, or other controlled documents is considered an asset.
- Experience using Microsoft Office and HR or document-management systems is considered an asset.
Knowledge & Competencies
- Strong organizational and follow-up skills, with the ability to manage multiple requests and deadlines in a part-time schedule.
- Excellent verbal and written communication skills.
- Strong attention to detail and accuracy in recordkeeping, data entry, and document preparation.
- Ability to maintain confidentiality, exercise discretion,
and use sound judgment.
- Working knowledge of HR administration, onboarding, employee records, workplace policies, and applicable employment standards.
- Ability to coordinate effectively with Finance & HR, Operations, Safety, supervisors, managers, and employees.
- Proficiency with Microsoft Word, Excel, Outlook, and Teams, with the ability to learn internal systems.
- Professional, collaborative, and service-focused approach.
- Ability to work independently and maintain consistent follow-through.

Working Conditions
- Part-time, Monday to Friday, in office; regular hours will be established based on organizational needs.
- Requires regular interaction with employees, supervisors, management, Operations, and Safety.
- Requires frequent use of a computer, phone, email, and HR or administrative systems.
- Must be able to manage interruptions, changing priorities, and time-sensitive requests while maintaining confidentiality and accuracy.
Pay: $27.00-$33.00 per hour Expected hours: No less than 20.0 per week
