Role Overview

We are looking for a detail-oriented Junior Administrator to join our Customer Success team. This role is an ideal fit for a recent graduate who brings hands-on internship, co-op, or entry-level experience. You will serve as the operational backbone across customer support, invoicing/accounting, warehouse/operations, and service department functions.

Working closely with account leadership, you will get real exposure to account management, pricing data, and financial administration with transparent room to grow.

Key Responsibilities

1. Customer Success and Account Support

- Serve as the main contact for coffee/product orders, special customer requests, estimates, and routine delivery inquiries.
- Daily management of customer correspondence regarding past or future deliveries, including resolving missing or wrong products.
- Maintain and update product/order databases and set up recent coffee delivery points and pricing plans.
- Produce operational performance reports, track cost/margin data, and support reporting during key team absences.

2. Invoicing and Financial Administration

- Prepare and manage monthly financial documentation, estimates, and invoices using QuickBooks and Seed.




- Reconcile delivery records with driver/client logs, invoice quarterly for shrinkage/unclaimed products, and manage food waste invoicing.
- Answer customer invoice queries, manage AR notifications, and liaise with Customer intermediary partners.

3. Pricing and Data

- Help track product cost and margin data.
- Look for patterns in account data (order trends, product mix) and flag growth opportunities to leadership.

4. Inventory Coordination

- Enter inventory counts into the system.
- Communicate special customer instructions or off-route delivery requests directly to the operations team.
- Routinely monitor coffee, pod, and tea supply inventory; place timely restock orders and communicate backorders or stockouts to clients.

5. Service Support

- Communicate directly with customers to confirm service details, scope of work, preferred dates, and site availability.
- Monitor daily kiosk statuses across multiple platforms and execute remote troubleshooting (e.g., system reboots) or escalate for on-site repair.

Requirements & Qualifications Must-Have Requirements:

- Post-secondary diploma or degree in Business Administration, Accounting, Office Administration, or a related field, paired with entry-level experience (such as an internship, co-op, or relevant part-time role).
- Hands-on experience organizing and cleaning raw data in spreadsheets into clear reporting summaries.
- Basic understanding of business concepts, markups, margins, and financial records.
- Clear, accurate,



and professional written communication skills for daily customer email interactions.
- High standard for accurate data entry and record-keeping.

Nice-to-Have Requirements:

- Experience using QuickBooks or other accounting software.
- Familiarity with Seed database systems or other inventory/order management tools.
- Familiarity with basic AI productivity tools to assist with drafting, data formatting, or research workflows.

Pay: $50,000.00-$55,000.00 per year
