We are seeking a Licensed Assistant to join our team in Stittsville, Ontario. This is an excellent opportunity for a detail-oriented and client-focused skilled who enjoys supporting advisors, building client relationships, and helping maintain efficient day-to-day operations within a collaborative team environment.
Position Overview The Licensed Assistant plays a key role in supporting multiple Certified Financial Planners while serving as an important point of contact for clients. The successful candidate will be responsible for client service, account administration, documentation processing, meeting coordination, and maintaining accurate records while ensuring adherence to industry regulations and compliance requirements.
This role is ideal for someone who takes pride in organization, enjoys helping clients, and is looking to establish a long-term career in a client service and administrative capacity within the wealth management industry.
Key Responsibilities
Advisor Support
- Provide administrative support to multiple Financial Planners.
- Prepare and process client documentation and account paperwork.
- Assist with account openings, transfers, updates, and other administrative requests.
- Maintain accurate client records and documentation.
- Coordinate advisor calendars, meetings, and client reviews.
- Monitor outstanding action items and follow up as required.
Client Service
- Serve as a primary point of contact for client inquiries.
- Deliver a professional, responsive,
and personalized client experience.
- Assist clients with onboarding and account-related processes.
- Schedule meetings and communicate with clients regarding appointments and documentation requirements.
- Follow up on client requests and ensure timely completion of service items.
Compliance & Operations
- Ensure documentation is complete, accurate, and compliant with regulatory requirements.
- Maintain client files and records in accordance with industry standards.
- Support internal processes and operational procedures.
- Assist with ongoing practice management and workflow organization.
Qualifications
Required
- Investment Funds in Canada (IFC) license, or willingness to obtain it
- Experience in the wealth management, financial services, banking, or investment industry.
- Strong administrative and client service skills.
- Exceptional attention to detail and organizational abilities.
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and Teams.
- Proficiency in English, both written and verbal.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving skills and a client-first mindset.
Preferred
- Experience supporting Financial Advisors.
- Familiarity with CRM systems and financial industry software.
