Summary of Position

Reporting to the Senior Director, Professional and Leadership Development (PLD) programs, and working collaboratively with a diverse Professional and Leadership Development (PLD) team, the Manager, LEADS 360 Services supports the Canadian College of Health Leaders and their partners and consultants, through provision of services to client organizations and college members.

The Manager, LEADS 360 Services is responsible for coordinating the administration, delivery and continuous improvement of LEADS 360 services, while supporting client organizations, members, coaches, consultants and internal partners throughout the service cycle.

This role is for a 1-year, full-time contract position.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES

LEADS 360 Administration

- Respond to inquiries regarding LEADS 360 services
- Monitor the [email protected] email address
- Respond to LEADS 360 inquiries with detailed price quotes to prospective and current clients
- Negotiate, create LEADS 360 contracts, and coordinate their signing and counter-signing
- Track 360 assessment credit usage reports for CCHL and client organizations
- Send agreement invoices to clients and follow up on any outstanding
- Enter LEADS 360 data and set up the 360 Panoramic Feedback tool
- Administration of the 360 Panoramic Feedback tool
- Regular communications and status reports to the administrative contact person at LEADS 360 organizations
- Generate LEADS 360 Reports and distribute accordingly
- Initiate Limited License to Use (LLU) Agreement process as needed, obtain details and forward LLU requests to Manager, PLD Programs

LEADS Coach Assignment, Debriefings and other Coaching Services

- Meet with LEADS 360 administrator at client organization for process overview
- Track coach and debriefing assignments ensuring equal chance




- Communicate assignment details to LEADS Coaches and follow up on activities after debriefings.
- Track and monitor Coach invoices, including reviewing of invoices for appropriate taxes and other details
- Manage the pool of LEADS Coaches (current and new intake)
- Help develop LEADS Coach and OLDC renewal agenda content and documentation
- Respond to frequent LEADS Coach inquiries re: invoicing, 360 support documents, etc
- Oversee the Aggregate Report service
- Assign coaches for coaching bundles service and track coaching hour usage
- Develop coaching bundle agreements.

Client, Partner and Stakeholder Relationships

- Present LEADS 360 updates on resources and processes and any other coaching information at LEADS Coach renewal sessions
- Schedule, personalize and host LEADS 360 Overview and Process webinars for participants as needed
- Exercise confidentiality when administering the LEADS 360 tool, ensuring that participants are protected

Continuous Improvement

- Provide 360 data and documents on client organizations for research purposes.
- Update 360 support documents as needed
- Create new and/or modify 360 questionnaires in the Panoramic Feedback system as required
- Arrange French translation of 360 documents
- Contribute to development of new LEADS/CCHL resources
- Contribute to LEADS Consultant newsletters when requested
- Work with the Communications team to promote LEADS 360 services and highlight resources, updates and opportunities to members and client organizations
- Contribute to the strategic growth of LEADS 360 services




- Provide training and coaching for LEADS 360 administration backup (CHE 360 Administrator)

QUALIFICATIONS

Skills and Experience

- 2+ years of coordinating cross-functional activities, including a minimum of 2 years of overseeing program administration
- Demonstrated experience with collaboration features for online meeting platforms such as Teams, Zoom
- Experience in project management, and/or in the healthcare industry, is an asset
- Advanced computer skills in Microsoft Office 365 suite, database management, QuestionPro
- Strong time management and organizational skills, with the ability to deal with multiple and immediate priorities simultaneously while maintaining attention to detail
- Strong client focus, interpersonal skills
- Experience using Panoramic Feedback or other 360 tool is an asset
- Bilingualism (French and English) is an asset

Education

- Certificate or degree in administration or a related field from a recognized College or University

Salary: $67,000/year
