Role Description The Medical Office Assistant is a full time, on-site role based in Abbotsford, BC, supporting the daily operations of a busy physiotherapy clinic. This position manages patient reception, answers phone calls, schedules and confirms appointments, and coordinates patient flow to ensure a smooth clinic experience.

The Medical Office

Assistant collects and updates patient information, verifies insurance and third-party coverage, and processes payments and billing-related documentation. Additional responsibilities include maintaining organized medical records,



preparing forms and correspondence, assisting with administrative tasks, and collaborating with physiotherapists and other team members to support efficient, patient-centered care.

Qualifications

- Strong phone etiquette and professional communication skills with patients, providers, and insurers.
- Experience with appointment scheduling, calendar management, and coordinating patient flow in a clinical or similar setting.
- Working knowledge of medical terminology and familiarity with physiotherapy or rehabilitation services is an asset.
- Skills in insurance verification, billing support, and handling third-party payers (e.g., ICBC, WorkSafeBC).
- Administrative assistance capabilities, including data entry, record management, and use of clinic management or EMR software.
- High level of attention to detail, accuracy, and confidentiality when handling patient information.
- Customer service mindset with a patient-first approach and the ability to work in a fast-paced environment.
- Completion of a Medical Office Assistant program or equivalent training and experience in a healthcare setting preferred.
