Office Administrator
Location: Brantford, Ontario
Compensation: $58,000CA-$65,000 CA

About the Role
We are currently seeking an Office Administrator to join our Brantford, Ontario team. This is a hands-on, highly organized role that supports both the administrative and manufacturing sides of the operation.
The ideal candidate is organized, adaptable, detail-oriented, and comfortable wearing multiple hats. You’ll support purchasing, employee administration, safety documentation, production activities, and scheduling while working closely with plant leadership and employees to help keep day-to-day operations running smoothly.
As our Brantford operation continues to grow, this position also offers the opportunity to take on additional responsibilities and become an increasingly important link between the office and manufacturing floor.
Key Responsibilities
Purchasing & Administrative Support
- Submit purchase orders for production materials, manufacturing supplies, and office supplies.
- Maintain accurate purchasing records, documentation, and files.
- Provide general administrative support to plant leadership and operations.
Human Resources & Employee Support
- Assist employees with benefits information and related documentation.
- Maintain employee personnel files, attendance records, and other required employment documentation.
- Assist with new-hire orientation and general employee procedures.
- Support plant leadership with employee-related administrative needs while maintaining appropriate confidentiality.
- Maintain employment records and documentation in accordance with applicable Canadian and Ontario requirements and company policies.
Safety & Training Administration
- Coordinate safety-related administrative activities with plant leadership.
- Maintain employee training records and update cross-training matrices.
- Maintain required workplace health and safety records and documentation in accordance with applicable Ontario and Canadian requirements.
- Help ensure training and safety documentation remains current and organized.
Production Support
- Release and print daily production orders, including bills of materials (BOMs), prints, and supporting documentation.
- Complete daily invoicing and verify applicable charges.
- Revise order due dates as required.
- Scan, organize, and maintain shipping documentation.
- Communicate with production and office personnel to help keep orders and information moving efficiently.
Production Scheduling
- Work with management to coordinate production schedules.
- Review incoming orders to verify material availability and initiate purchase orders when necessary.
- Assign new orders to the appropriate workflow and scheduling sequence based on customer due dates and production priorities.
- Maintain and update visual scheduling boards throughout the plant.
- Monitor and track workflow and production schedules to support On-Time Delivery (OTD).
- Communicate scheduling concerns, material shortages, or potential delays to appropriate team members.
Other Related Duties as Assigned
- Due to anticipated growth in production and related increases in administrative demands,
the Office Administrator may assume additional responsibilities to improve workflow efficiency between office/administrative and manufacturing operations.
- Assist with additional projects, reporting, documentation, or operational support as business needs evolve.
Qualifications
- Degree, certificate, or diploma in Business Administration, Office Administration, or a related field preferred; a combination of education and relevant experience will also be considered.
- Previous administrative, office, or manufacturing-support experience preferred.
- Strong written and verbal communication skills.
- Proficiency with Microsoft Office, email, and general computer systems.
- Previous experience with ERP or manufacturing software is an asset.
- Strong organizational skills with excellent attention to detail.
- Ability to manage multiple priorities in a fast-paced manufacturing setting.
- Comfortable communicating and working with employees at all levels of the organization.
- Ability to work independently while also contributing to a team environment.
- Adaptable and willing to learn new responsibilities as the operation grows.
