The Opportunity The Project Administrator is to provide administrative support to the project team including accounting, assistant project managers, project managers and senior project managers on assigned projects.
What you will do?
- Must issue, request proper execution, and track all required construction project documentation such as proposals, change orders, drawings, submittals, RFI’s, invoices, lien waivers, close-out documents, etc.
- Attend meetings if needed and assist team with determination of project requirements and take minutes
- Assist the Project Manager in the drafting and issuance of weekly and monthly project reports, budgets, schedules, payment applications, change orders, etc.
- Use project scheduling and control tools to assist with monitoring project plans, budgets and expenditures
- Effectively and accurately communicate relevant project information to the client and project team if requested or in the absence of the project manager
- Assist Project Management in review of subcontractor / vendor pricing quotations to ensure fair and reasonable pricing is recommended for approval
- Ensure all required project close out documents are obtained and filed as required in the project repository
- Communicate ideas for improving company processes with a positive and constructive attitude, and developing this attitude in others
- Keep the Project Manager and others informed about project status and issues that may impact client satisfaction
- Assist Project Management with permitting and jobsite inspection procedures
- Coordinate submittal information, and maintain submittal status
- Be knowledgeable and work with client’s submittal process/systems for each job
- Monitor/Prepare/Process expense reports (this item could be excluded, depends on the vision of the PC)
- Active advocate for the company’s clients, projects and project managers
Required Qualifications
- Bachelor’s degree in construction management or related field preferred
- Minimum of 3 years of relevant work experience, 5+ years preferred
- Strong organizational skills, ability to multitask and manage shifting priorities to meet deadlines for multiple stakeholders or project managers
- Strong analytical, problem solving and communication skills
- Working knowledge of Microsoft Suite including Word, Excel, Outlook plus Bluebeam
- Working knowledge of project management repositories such as ProCore a plus
- Possess a current driver’s license
- Position requires ability to travel up to 10%
This is a full-time position with hours dictated by business needs. This position will report to a multiple Project Managers. Works in an office environment. Requires occasionally performing activities including, but not limited to, bending, stooping, grasping, reaching, twisting, turning and/or lifting.
