The OpportunityWe’re looking for a Project Coordinator – Sales & Operations to become an important link between our customers, sales team, operations team and suppliers.

This is not a narrowly defined administrative position.

You’ll be involved in projects from the early stages of the customer journey through to ordering, scheduling and installation. On any given day, you might be helping a homeowner finalize their new front door, coordinating product details with a supplier, reviewing an order, supporting our sales team, updating project timelines or helping solve a scheduling puzzle.

It’s an ideal role for someone who loves being organized, enjoys working with people and gets genuine satisfaction from moving things forward.

The position will support several areas of the company and will evolve as Long Life grows and as we discover where your strengths can have the greatest impact.

This is a permanent position with long-term growth potential.

What You’ll Be DoingProject & Operations Coordination

You’ll work closely with our Operations Manager to help move sold projects from contract through to installation.

Responsibilities will include

- Keeping project information, product ready dates and outstanding details current in our systems
- Communicating with suppliers regarding windows, doors, hardware, paint and other project requirements
- Preparing and submitting product order requests
- Reviewing orders after final measurements and helping identify discrepancies before products are ordered
- Coordinating outstanding details required before installation
- Helping communicate installation timing and scheduling with customers
- Coordinating special materials, pre-painted trims and other project-specific requirements
- Helping keep projects moving when there are multiple suppliers, timelines and dependencies involved
- Supporting administrative functions such as vacation tracking, sick days, payroll information and employee benefits

Sales & Customer Support

You’ll also help our sales team deliver a smooth experience for our customers.

This may include

- Preparing and coordinating work-order confirmations
- Working directly with customers to finalize door designs, colours, glass, hardware and other selections
- Preparing quotes for doors and smaller projects
- Assisting customers who visit our showroom
- Answering customer questions by phone, email and text




- Following up on outstanding information and helping keep decisions moving forward
- Supporting our sales team wherever an extra set of capable hands can make the customer experience better

Over time, there may also be opportunities to take on more direct quoting or sales responsibilities if that is an area you enjoy.

Marketing & Company Support

Marketing is a smaller part of this role, but there will be opportunities to flex your creative side with our online Long Life brand.

You may

- Coordinate before-and-after photography from completed projects
- Maintain a library of project and product photos
- Help keep our social media channels active
- Coordinate with our external digital marketing partner
- Help publish blogs and website content
- Assist with current landing pages and campaigns
- Help organize company events and culture initiatives

You do not need to be a professional marketer or content creator. Strong organization, communication and project coordination skills are much more important to us.

The Person We’re Looking For

This role will suit someone who likes having a lot of balls in the air, but also likes putting every one of them back in the right place.

You are likely someone who:

- Is extremely organized and naturally keeps track of details
- Loves finishing tasks and moving projects forward
- Communicates confidently and professionally with customers
- Writes excellent emails and understands how much tone matters
- Is comfortable picking up the phone instead of hiding behind email
- Can be warm and tactful when navigating scheduling or customer requests
- Can follow established processes while still using judgment when something falls into a grey area
- Enjoys working as part of a collaborative team
- Is comfortable learning new software and technology
- Can switch between customer service, administrative work and problem-solving without becoming overwhelmed
- Takes ownership rather than waiting for someone else to notice something needs to be done

This probably isn’t the right role for someone looking for a remote position, a purely creative marketing job or a position where every day follows the same script.

Experience

We’re open-minded about the exact background of the right person.

You may have experience in:

- Project coordination
- Operations
- Sales support
- Customer service
- Construction or home improvement
- Office administration
- Account coordination
- Marketing coordination
- Hospitality combined with more recent business or administrative experience

Approximately 2–7 years of professional experience would be a natural fit, although capability and attitude matter more to us than hitting an exact number.

A diploma or degree in business, marketing, operations, professional sales or a related field is an asset, but not required.

Compensation & Benefits

Depending on experience and the scope of the role, compensation is expected to fall between $65,000 and $85,000 annually, with the potential for a performance-based component for the right candidate.
