Join our dynamic team as a Property Management Assistant and be at the forefront of delivering exceptional property services! In this role, you will support the operations, administration, and tenant experience across a portfolio of commercial properties. This position combines lease administration, customer service, property coordination, and administrative support to ensure efficient day-to-day operations and a high level of service to tenants and stakeholders.
Key Responsibilities
- Lease Administration: Manage lease documentation, renewals, and tenant correspondence.
- Tenant & Client Relations: Respond to tenant inquiries, manage service requests, assist with onboarding, and support client communications.
- Support New Business: Assist with space showings and support new growth opportunities.
- Customer Service Coordination: Develop and implement communication protocols, manage phone and email inquiries, and assist with internal/external coordination.
- Marketing & Communications: Support advertising efforts, maintain social media presence, and assist with promotional campaigns.
- Property Operations Support: Coordinate property maintenance, contractors, building systems, and related documentation.
- Compliance & Safety: Track Workplace NL requirements and support safety program administration and inspections (fire alarms, extinguishers, etc.).
- Administrative Support:
Schedule meetings and maintain calendars.
- General Office Duties: Issue purchase orders, prepare correspondence, and assist with other administrative tasks.
- Cross-Functional Support: Provide administrative and accounting support to various departments as required.
Requirements
- Previous office experience or administrative background preferred; familiarity with property management software such as Yardi is a plus.
- Previous experience in commercial property management.
- Completion of post-secondary education in a related field.
- Strong organizational skills with attention to detail for data entry and record keeping.
- Excellent communication skills with professional phone etiquette and customer service orientation.
- Ability to handle multiple tasks efficiently in a quick-paced environment.
- Basic knowledge of property management principles and experience in customer relationship management is desirable.
- Experience with negotiation and problem-solving to effectively address tenant concerns or service issues.
