We are a busy, locally owned and operated automotive repair shop looking for a friendly, organized and dependable Receptionist / Service Manager Assistant to join our team.
This position is an important part of our front office. You will often be one of the first people our customers speak with, while also working closely with our Service Manager to help keep the day organized and the shop running smoothly.
This is not a technician position, and you are not expected to know everything about vehicles. We are looking for someone with strong people skills, attention to detail and a willingness to learn. Automotive knowledge is an asset, but the right personality and work ethic are just as important to us.
Responsibilities
- Answer incoming phone calls in a friendly and professional manner
- Greet customers and assist with vehicle drop-offs and pick-ups
- Schedule appointments and help manage the daily calendar
- Collect customer and vehicle information accurately
- Assist the Service Manager with day-to-day administrative duties
- Communicate basic updates and information to customers as directed by the Service Manager
- Help prepare and organize work orders, estimates and invoices
- Process customer payments
- Maintain organized customer records and paperwork
- Assist with follow-up calls and appointment reminders
- Communicate with technicians and other team members to help keep information flowing between the shop and front office
- Maintain a clean, organized and welcoming reception/customer waiting area
- Assist with other office and customer-service duties as required

- Detail-oriented when entering customer, vehicle and appointment information
- Comfortable using computers and learning recent software
- Able to handle difficult or frustrated customers professionally
- A team player who is willing to jump in and help where needed
Experience Previous experience in reception, administration, customer service, automotive service or a similar front-office position would be an asset.
Automotive experience is preferred but not required. We are willing to train the right person who has strong customer-service skills and is eager to learn.
