About the Role

Toronto Academy of Education is seeking a dedicated Sales, Marketing and Admin Coordinator to join our dynamic team. You’ll play a key role in helping prospective students explore programs and guiding them through their enrollment journey. This is a student-facing role with a solid focus on sales, admissions, lead follow-up, and student enrollment, while also supporting college administration, student documentation, and compliance requirements.

The ideal candidate is comfortable speaking with prospective students by phone, following up consistently with leads, understanding student needs, explaining program options, and guiding qualified applicants toward enrollment.

The Sales, Marketing and Admin Coordinator plays a dual role supporting student admissions, academic counselling, compliance documentation, and administrative operations. This position is ideal for someone who is student-centered, detail-oriented, and familiar with Ontario Career College Act 2005 regulations.

Key Responsibilities

Student Counselling & Admissions

- Counsel prospective and enrolled students on program selection, admissions requirements, and career pathways
- Respond to new and existing leads by phone, email, and other communication channels

Compliance & Documentation

- Maintain accurate student records,



including enrollment contracts, transcripts, attendance records, and academic files
- Support compliance with Ministry requirements, Ontario Career College regulations, and applicable program requirements
- Assist with audits, inspections, and regulatory documentation
- Coordinate student requirements such as VSC, immunization, First Aid/CPR, and placement documentation

Administrative & Operational Support

- Coordinate with instructors, placement coordinators, and administration
- Support scheduling, orientations, graduations, and student communications
- Respond to student inquiries via email, phone, and in person
- Use Learning management systems (LMS), spreadsheets, and document portals efficiently
- Conduct admissions interviews and assess eligibility in accordance with MCU standards
- Explain enrollment contracts, fee structures, refund policies, and academic expectations
- Support students with academic concerns, attendance issues, and progression planning

Qualifications

- Diploma or degree in Business, Marketing, Education, Administration, Human Resources, Social Work, or a related field
- Previous experience in sales, admissions, customer service, recruitment, or a similar target-driven role preferred
- Robust phone communication and interpersonal skills
- Ability to build rapport, handle objections, follow up consistently, and guide prospective students through the enrollment process
- Strong organizational skills and attention to detail
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Experience using CRM or lead-management systems is an asset
- Knowledge of Ontario Career College regulations and student documentation is an asset
- Follow up consistently with prospective students and convert qualified leads into enrollments
- Counsel prospective students on program options, admission requirements, career pathways,



and next steps
- Conduct admissions interviews and assess applicant eligibility
- Explain tuition and fee structures, enrollment contracts, refund policies, and academic expectations
- Maintain accurate lead and applicant information in the college CRM
- Follow up on incomplete applications and required admissions documents
- Work toward enrollment and admissions targets while maintaining a professional and student-focused approach

Qualifications

- Diploma or degree in Education, Administration, Human Resources, Social Work, or related field
- Knowledge of Ontario Career Colleges Act 2005 regulations, student contracts, and compliance standards
- Strong communication, counselling, and interpersonal skills
- Excellent organizational skills and attention to detail
- Proficiency in MS Office (Word, Excel, Outlook); LMS experience an asset
- Preferred Experience- Experience with PSW, MOA, ECA, HSW, or healthcare programs
- Familiarity with placements, externships, or practicum coordination
