Immigration Case Assistant / Administrative Assistant
Role Overview This is a dynamic, multi-tasking support role assisting a Regulated Canadian Immigration Consultant (RCIC) with day-to-day office operations. The setting experiences fluctuating workloads, ranging from low-activity periods to very heavy, high-pressure case processing. Comprehensive on-the-job training will be provided for all duties, making a strong willingness to learn essential.
Core Duties and Responsibilities
- Client Intake and Communication: Manage a high volume of incoming phone calls, gather essential information and documents from clients, and answer general administrative queries regarding their files.
- Application Preparation: Assist in accurately filling out, formatting, and assembling forms for a wide variety of immigration streams, including:
- Provincial Nominee Programs (PNPs)
- Permanent Residence (PR) applications
- Study Permits
- Temporary Residence applications (Work Permits, Visitor Visas)
- Policy Research: Read, interpret, and familiarize yourself with official federal and provincial immigration program guidelines to ensure application materials align with current requirements.
- Status Tracking:
Routinely check government portals for application updates, track processing times, maintain organized case files, and update clients accordingly.
- Operational Support: Handle various day-to-day administrative tasks to keep the office running efficiently, adapting quickly to shifting priorities.
Qualifications and Requirements
- Language Proficiency: Mandatory fluency in Punjabi and English to effectively communicate with the client base and process applications.
- Adaptability: Proven ability to multitask and manage time effectively in a workflow that frequently alternates between slow periods and heavy, deadline-driven caseloads.
- Attention to Detail: High level of precision and accuracy when recording client information and reviewing sensitive government forms.
- Trainability: While prior experience is an asset, full training will be provided. The candidate must be open to instruction and capable of absorbing detailed immigration procedures.
Pay: $15.00-$17.00 per hour
Expected hours: 35.0 per week
