What You’ll Do The Payroll, Benefits & Accounts Payable Administrator is a key member of Carlson Construction’s finance and accounting team. They are responsible for the accurate and timely administration of payroll, employee benefits, and related employee records.
This position ensures compliance with applicable federal and provincial legislation, company policies, and reporting requirements. The role serves as the primary contact for payroll and benefits inquiries and provides backup support for Accounts Payable functions as required.
Duties and Responsibilities
Payroll Administration:
· Process bi-weekly payroll accurately and on schedule
· Maintain employee payroll records, earnings, deductions, taxable advantages, and RRSP contributions.
· Process new hires, terminations, salary changes, promotions, leaves of absence, and other employee status changes.
· Ensure compliance with Alberta Employment Standards, Canada Revenue Agency (CRA) requirements, and company policies.
· Calculate and process vacation pay, statutory holiday pay, overtime, and other payroll-related payments.
· Prepare and reconcile payroll reports.
· Process Records of Employment (ROEs) accurately and within required timelines.
· Support year-end payroll processes,
including T4 preparation and reconciliation.
· Respond to employee payroll inquiries professionally and confidentially.
Benefits Administration
· Administer employee benefit programs, including health, dental, vision, life insurance, disability insurance, Employee and Family Assistance Programs (EFAP), and retirement savings programs.
· Coordinate employee enrollments, changes, and terminations with benefit providers.
· Assist employees with benefits-related questions and claims issues.
· Manage annual benefits renewals and open enrollment activities.
· Reconcile benefit invoices and ensure accurate payroll deductions.
· Maintain confidential employee benefit records.
· Assist with administration of leaves, including maternity/parental leave, sick leave, disability leave, and other approved absences.
Accounts Payable Backup:
· Provide backup support for Accounts Payable during absences, peak periods, and as required.
· Review, code, and enter vendor invoices into the accounting system.
· Match invoices to purchase orders and supporting documentation.
· Prepare payment runs, including EFT, cheque, and electronic payments.
· Reconcile vendor statements and investigate discrepancies.
· Maintain vendor records and supporting files.
· Assist with month-end and year-end accounting processes.
Compliance & Reporting:
· Maintain confidentiality of payroll, employee, and financial information.
· Support internal and external audits.
· Prepare payroll, benefits, and accounts payable reports as requested.
· Stay current with legislative changes affecting payroll,
benefits, and employment practices.
· Recommend process improvements to enhance efficiency and accuracy.
What We’re Looking For
We’re open to candidates at different experience levels, whether you’re a seasoned administrator or ready to grow into the role. Here’s what we’d love to see:
· Education: Post-secondary education in Accounting, Payroll Administration, Business Administration, or a related field is preferred. Payroll Compliance Practitioner (PCP) designation from the National Payroll Institute is considered a strong asset.
· Experience: Minimum 2-3 years of payroll processing experience. Prior Accounts Payable experience an asset.
· Certifications: Additional training or certification in accounting software or accounts payable practices is considered an asset.
