The Role As an Executive Assistant, you will support four department-aligned Managing Directors within Technology & Data, serving as a key coordination point across their priorities and leadership engagements. You will proactively manage complex calendars and competing demands, establish an effective operating rhythm, and anticipate needs to help maximize leadership effectiveness and focus. Success in this role requires strong judgment, discretion, and the ability to connect priorities and look beyond individual calendars. The Team Technology & Data provides the technology and data capabilities that support CPP Investments and its investment activities. The Executive Assistant will work across four department-aligned Managing Directors, helping coordinate priorities, activities and administrative requirements while partnering closely with Executive Assistants and teams across the organization.
Accountabilities Provide proactive administrative and coordination support to four Managing Directors and their broader teams, helping manage competing priorities and maintain an effective operating rhythm
Manage complex calendars and coordinate internal and external meetings, calls, room bookings and logistics across global departments and offices
Coordinate complex global travel arrangements and itineraries, including related administrative and expense processes
Prepare and coordinate Executive- and department-level documents and submissions, ensuring accuracy, attention to detail and timely delivery
Anticipate meeting requirements, help ensure leaders are prepared and support the coordination and follow-through of action items and critical internal processes
Coordinate department and team events, employee onboarding and meetings with external partners, assistants, vendors and other stakeholders
Partner closely with other Executive Assistants and teams to improve coordination and efficiency, while handling sensitive and confidential matters with discretion
What You Bring College diploma or bachelor’s degree
6+ years of administrative support experience in a fast-paced, professional environment
Experience supporting senior professionals, managing competing priorities and exercising sound judgment and discretion
Demonstrated experience managing complex calendars, coordinating high-profile meetings and events, arranging travel and processing expense reimbursements
Solid written and verbal communication skills in English
Advanced knowledge of Microsoft Office, including Word, Excel, PowerPoint and Outlook, with an interest in learning new applications
Experience in financial services or a related industry is an asset
